Accountabilities
Act as the primary point of contact for day-to-day employee requests related to facilities, office services, and onboarding.
Support onboarding for new joiners by preparing IT equipment and orientation materials.
Maintain the general upkeep of the LinkedIn work space suite within the serviced office
Coordinate with building management for any maintenance, repairs, or compliance-related tasks.
Shipping & receiving managed by JLL staff. Logistics company shipping fees are billed to client directly.
Receive, inform and guide visitors including co-ordination with client employees.
To ensure all office supplies are fully stocked at all times and managing of daily lunch.
Manage relationships with external vendors for cleaning, maintenance, pantry supplies, and other office services.
Negotiate and monitor service contracts to ensure vendor performance and compliance with LinkedIn and regulatory standards.
Provide assistance in general administrative activities and any other duties as assigned by Facilities Management team
Collaborate with internal teams and external vendors to organize events, ensuring proper setup and seamless execution.
Participate as a team member in responses to emergency situations for facilities matters and to participate and lead the office in the periodic building fire evacuation drill.
Manage invoices, ensure commitment & payment records are maintained and that payments are received by vendors.
Directing first-line complaints in regards to soft services to Facilities Management team
Ensure compliance with all governmental regulations on behalf of the client.
Ensure effective completion of all incident reports.
Assist FM on generating PO and Goods receiving, track purchase orders ensuring records are up to date.
Ensure compliance with Jones Lang LaSalle minimum audit standards.
Manage end user expectations and requirement.
Provide assistance to users as and when required
