- Responsible for the collection, arrangement, appraisal, and filing of archives throughout the full life cycle (project initiation, survey and design, bidding and tendering, construction, completion acceptance, commissioning and operation) of the Malaysian company's construction projects to ensure the completeness and standardization of documents and materials.
- Establish and improve the project archive management system, formulate classification schemes, numbering rules, filing scopes and retention period tables, and standardize the entire process standards for archive formation, circulation and filing.
- Responsible for the binding, warehousing, inventory and loan registration of paper archives, as well as the scanning, description, encryption and backup of electronic archives to ensure the physical and information security of archives.
- Coordinate with design, construction, supervision, suppliers and other parties, supervise the timely transfer of archives, verify the completeness and authenticity of archives, and track the implementation of rectification opinions.
- Provide archive inquiry services, compile retrieval tools (catalogs, indexes) to meet the needs of project construction, auditing and compliance inspections; manage the archive warehouse and implement safety measures such as fire prevention, moisture prevention, theft prevention and leakage prevention.
- Participate in the special acceptance of archives for project completion acceptance, prepare acceptance materials, and cooperate with relevant departments for verification.
- Responsible for the daily management of the archive warehouse, implement safety measures such as fire prevention, moisture prevention, insect prevention, theft prevention and leakage prevention, conduct regular inventory, maintenance and restoration of archives, and ensure the physical and information security of archives.
