Project & Sales Coordinator (Sabah)

Job Purpose

The Sabah Project & Sales Coordinator supports the Site Manager or Project Manager in executing site activities, ensuring compliance with contract requirements and smooth project delivery within quality, safety, and timeline standards. This role coordinates with key personnel across HMSB Sabah, Sarawak, and HQ shared services teams to facilitate effective resource allocation and project execution. The position also ensures adherence to ISO Integrated Management System (IMS) standards, including ISO 9001, ISO 14001, and ISO 45001.

Key Duties and Responsibilities

A. Project & After Sales:

• To study contract document ensuring all material, design work, erection work and etc. comply to the contract requirements
• To provide input hence working out a practical site activity schedule with Site Manager
• To verify material delivered comply to project contract requirement
• To monitoring and controlling resources especially manpower and material to minimize progress interruption and idling
• To study approved document submission including method statement, drawings and all necessary document, ensuring site activities are performed accordingly
• To arrange for site document submission where necessary hence following up until approval
• To attend site meeting with subcontractor where necessary hence provide support on highlighted tasks which being raised in meeting until all issues are resolved
• To witness and verify site inspection and site testing
• To liaise with Site Supervisor for all site activities execution
• To liaise with Site Safety Office for safety activities execution
• Provide support to ensure that the project execution is successful upon PO till delivery to site.
• Developing project planning ensuring all time lines and tasks are met.
• To attend product FAT if required.
• To work closely with relevant stake holder(s) for on-going project matter(s) and to organised or attend coordination meeting (if required).
• Liaise with relevant stake holder(s) to clear any outstanding(s) and to ensure necessary approval(s) are done during post FAT.
• Responsible in maintaining the on-going project report and hence to update superior on a weekly basis.

B. ISO Integrated Management System Responsibilities

1. ISO 9001 – Quality Management

2. Ensure all project execution, site activities, and sales processes comply with documented procedures and quality standards.

3. Maintain accurate records, reports, and documentation for audits and management reviews.

4. Support continuous improvement initiatives within project and sales workflows.

5. ISO 14001 – Environmental Management

6. Promote sustainable and environmentally responsible practices across all project and sales activities.

7. Ensure activities comply with company environmental policies and regulatory requirements.

8. Identify opportunities to minimize environmental impact during project execution and operational tasks.

9. ISO 45001 – Occupational Health & Safety

10. Ensure all site visits, project coordination, and sales activities follow safe working practices.

11. Identify, report, and follow up on hazards, incidents, or unsafe conditions according to company procedures.
12. Foster a proactive safety culture among project and sales teams, ensuring awareness and compliance at all levels.

Qualifications / Skills and Competencies

• 1–2 years of related working experience (fresh graduates are encouraged to apply)
• Strong understanding of electrical systems, construction methods, and safety protocols
• Ability to read and interpret technical drawings, method statements, and specifications
• Good planning, organizational, and time-management skills to support project schedules
• Strong analytical and problem-solving abilities in handling site-related issues
• Effective communication and interpersonal skills for coordination with internal teams, subcontractors, and stakeholders
• Proactive, detail-oriented, and able to work independently with minimal supervision
• Willingness to work on-site and adapt to project requirement
• This role may require occasional travel to project sites Able to work under pressure when required (meeting project deadlines)
