POSITION SUMMARY:

Assists with coordinating activities and provides support to the human resources operations of a department or location. Responsibilities may include processing and maintaining records, responding to common operations and program questions, and providing office support and general administrative matters.

JOB FUNCTIONS:

  • To handle all in-coming and out-going calls and to pass the calls correctly to the right department.
  • To receive all calls with professional telephone etiquette and ensure that the recipient receive the call.
  • To attend to walk-in guest / business partner / customer.
  • Arrange and coordinate of air ticket booking and hotel reservation for staff and visitor.
  • To handle office requisition orders, purchase orders etc,
  • Receive, record and distribute for in-coming and out-going mail / fax / documents / collection.
  • Coordinate the dispatch and courier services.
  • Performs basic office duties, such as copying, filing, faxing, typing standard documents, entering data, and running basic or standard reports.
  • Support general administrative matters.
  • Maintain the neatness and general appearance of reception area.
  • Performs other duties as assigned

EXPERIENCE REQUIREMENTS:

  • One year of clerical, human resources or customer service support experiences or equivalent experience.

EDUCATIONAL REQUIREMENTS:

  • Secondary school qualification or equivalent education and experience.

SKILL REQUIREMENTS:

  • Basic office principles;
  • Providing customer service;
  • Working with other departments and divisions;
  • Following operational policies and procedures;
  • Maintaining data and reports;
  • Processing forms and information;
  • Ability to learn department specific policies and procedures;
  • PC skills; Microsoft Office applications (Word, Excel, PowerPoint, Outlook); and other applicable applications;
  • Communicating with co-workers to provide and receive direction.
