Position Overview:

We are seeking a proactive Procurement Executive to manage our purchasing process and ensure the timely arrival of goods. This role is crucial for coordinating with suppliers and freight forwarders, tracking shipments, and maintaining basic inventory levels to meet our project and sales deadlines. The ideal candidate is a great communicator, detail-oriented, and thrives on ensuring things arrive on time.

Key Responsibilities:

• Order Processing: Handle the end-to-end processing of purchase orders for overseas suppliers, ensuring accuracy in quantities, specifications, and delivery timelines.
• Logistics Coordination: Serve as the main point of contact for freight forwarders. Track orders in transit, and proactively resolve any shipping delays or issues.
• Deadline Management: Closely monitor order statuses and production schedules to ensure all goods arrive on time to meet critical project and sales deadlines. Provide regular updates to the internal team.
• Documentation: Prepare and manage all necessary shipping and import documentation (e.g., packing lists, customs declarations) to ensure smooth customs clearance in Malaysia.
• Basic Inventory Planning: Monitor stock levels of key items to help prevent stock-outs. Coordinate with the warehouse to maintain optimal inventory levels based on current demand.
• Communication: Maintain clear and constant communication with overseas suppliers and internal teams regarding order status, potential delays, and solutions.

Who We Are Looking For:

• Proven experience year) in a similar role, handling overseas purchasing and order processing.

• Dealing directly with freight forwarders and managing international shipments.

• Basic understanding of inventory management principles to maintain healthy stock levels.
• Exceptional organizational skills and a strong sense of urgency to meet deadlines.
• Meticulous attention to detail to ensure order and shipping accuracy.
• Strong problem-solving skills to navigate and resolve shipping or supply delays.
• Proficiency in Mandarin. Good written communication skills for coordinating with suppliers and partners.
