What You'll Do

Summary

Provide administrative support to Merchandise department including organizing company records, overseeing department budgets (PO administration) and maintaining inventory of merchandise in HQ office.

Provide administrative support to the Merchandise Product Sourcing team:

  • Issuance of Purchase Orders according to Product sourcing requirements.
  • Manages merchandise stock and monthly stock count
  • Prepare documentation for Stock transfers between Cinemas & HQ
  • Maintain and update company databases of all cinema locations
  • Organize a filing system for important and confidential company documents

Support Merchandise Channel team administration:

  • Key in Sales into POS system for all KEEPSAKE Online
  • Liaise with IT & Cinema team on any issues relating to POS system
  • Arrange and coordinate for stock deliveries between cinema and flagship outlets for Keepsake Online order fulfilment.
  • Support the Customer Service team to provide fulfilment order information are duly registered.
  • Coordinate logistic issue with External delivery parties on order fulfilment

Liaising with Internal and External Parties:

  • Check for vendor's payment with Finance Accounts Payable
  • Liaise with Vendor on on-boarding processes.
  • Preparation of Memo and coordination for stock collection with all external and internal request.
What Makes You a Great Fit
  • Bachelor's degree in Business Studies/ Administration/ Management, or equivalent.
  • Minimum 2 years of working experience in administrative functional role or related.
  • Basic understanding in Vendor management and Payment processes.
  • Proficient in Microsoft 365 with advance proficiency in Excel such as Pivot and VLOOKUP.
  • Excellent written and verbal communication skills.
