Job Responsibilities

  1. Shipping Coordination & Documentation

  2. Prepare and manage all import and export shipping documents (e.g., invoice, packing list, BL/AWB, COO, permits).

  3. Coordinate shipment booking with freight forwarders, shipping lines, and transporters.

  4. Ensure accurate and timely submission of documentation for customs clearance.

  5. Customs; Regulatory Compliance

  6. Ensure all import/export activities comply with local customs requirements and relevant regulatory bodies.

  7. Handle customs forms such as K1, K2, K3, K8, and K9 (if applicable to your operations).

  8. Manage permit applications (e.g., SIRIM, MAQIS, MITI) and ensure compliance with local regulations.

  9. Shipment Tracking ; Monitoring

  10. Monitor shipment status from origin to destination and update internal stakeholders proactively.

  11. Resolve shipment delays, discrepancies, and other logistics issues in a timely manner.

  12. Coordinate with warehouse, procurement, and operations teams for smooth inbound/outbound processes.

  13. Freight Cost Management

  14. Request freight quotations and assist in cost comparison for sea, air, and land shipments.

  15. Verify freight invoices and ensure accuracy before submission for payment.

  16. Coordination with Internal & External Parties

  17. Liaise with suppliers, freight forwarders, shipping agents, customers, and internal departments.

  18. Support cross-functional teams in logistics planning and inventory arrangements.

  19. Record Keeping & Reporting

  20. Maintain accurate records of shipments, customs documents, and logistics data.

  21. Prepare weekly/monthly reports on shipment status, freight cost, and logistics performance.

Requirements

  • Minimum 2–3 years of experience in shipping, logistics, or import/export operations.
  • Strong understanding of shipping terms (Incoterms) such as FOB, CIF, EXW, FCA, DAP, etc.
  • Knowledge of customs procedures and documentation will be an added advantage.
  • Good command of English, Malay, and Mandarin is an advantage.
  • Proficient in Microsoft Office (Excel, Word) and basic logistics systems.
  • Strong attention to detail, good communication, and coordination skills.
  • Able to work in a fast-paced environment and manage multiple shipments simultaneously.
