Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive support in administrative, executive, and accounting functions. This role requires excellent multitasking abilities, strong communication skills, and proficiency in handling office operations, financial transactions, and executive support duties.
Key Responsibilities:
1. Administrative Support:
- Manage office supplies, equipment, stationeries, and overall office maintenance.
- Coordinate and schedule meetings, appointments, and conference calls.
- Handle employee travel arrangements, including booking flights, accommodations, and transportation.
- Review expense claims submitted by the employees.
- Support on general HR matters including coordination of recruitment activities and employee leave record keeping.
- Maintain and update office records, files, and confidential documents.
- Liaise with service providers and follow up until issues are resolved.
- Arrange for dispatch of documents and coordinate deliveries/couriers.
- Assist in the coordination of company events, training sessions, and employee engagement activities.
- Contact targeted companies with potential investment opportunities to arrange meetings with their senior executives, including coordinating schedules and handling meeting logistics.
2. Executive Assistance:
- Provide direct administrative support to Senior Executives, including calendar management and correspondence handling.
- Prepare and process expense claims and reimbursements.
- Draft and prepare internal memos, reports, presentations, and meeting minutes.
- Act as a liaison between executives and internal/external stakeholders.
- Handle confidential and sensitive information with discretion.
3. Accounts & Finance Support:
- Assist with basic bookkeeping tasks, including but not limited to invoice processing, payment tracking, and bank reconciliations; record and update all financial transactions in the accounting system.
- Maintain and update the fixed asset register.
- Prepare and verify expense reports.
- Track and monitor expenses incurred for each investment deal.
- Process vendor payments.
- Assist in preparing cash flow projections.
- Support in maintaining financial records and preparing financial summaries.
- Assist with annual budget preparation, tax estimations and/or filings, and financial reporting requirements.
- Work with the financial controller to ensure compliance with company policies and accounting standards.
4. To provide support on various tasks and other ad-hoc duties as assigned.
Qualifications & Requirements:
- Diploma/Degree in Business Administration, Accounting, Finance, or a related field.
- 2-3 years of experience in administrative, executive assistant, or accounts assistant roles.
- Prior experience in financial record-keeping, reconciliation, claims processing, meeting and travel coordination, scheduling, as well as overall office maintenance is an advantage.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and accounting software (e.g., SQL, Xero, QuickBooks, SAP).
- Strong attention to detail, time management, multitasking and problem-solving skills.
- Excellent written and verbal communication in English and fluency in Mandarin/Cantonese is a plus.
- Ability to handle confidential information with professionalism and discretion.
- Hardworking, highly committed, and flexible to adapt to a fast-paced and evolving business environment.
- A good listener, open-minded, patient and able to follow instructions.
