1.Key Responsibilities
A. Administrative Support
  • Manage daily schedules, appointments, and calendar updates.
  • Coordinate meetings, prepare agendas, and take minutes.
  • Organise travel arrangements, including flight bookings, accommodation, transportation, and itineraries.
  • Draft, review, and manage emails, letters, memos, and official documents.
  • Handle confidential information with strict professionalism.
B. Operational Assistance
  • Assist with the preparation of presentations, reports, and briefing materials.
  • Coordinate with internal staff and external stakeholders on behalf of the Director.
  • Support company projects, follow up on deadlines, and ensure timely completion of tasks.
  • Conduct research and prepare summaries as requested.
C. Financial & Administrative Coordination
  • Assist with basic accounting tasks such as invoice tracking, payment processing, and expense claims.
  • Maintain proper documentation and filing systems (digital & physical).
  • Support procurement activities, quotations, and vendor coordination.
D. Personal Tasks
  • Handle personal errands for the Director when required.
  • Manage household or personal appointments (if applicable).

2. Requirements
A. Qualifications
  • Minimum Diploma/Bachelor's Degree in Business Administration, Management, Communications or equivalent.
  • Professional certifications in administration or secretarial work are an advantage.
B. Skills & Competencies
  • Excellent verbal and written communication skills in English (additional languages are an advantage).
  • Strong organisational and time-management abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and digital productivity tools.
  • Ability to multitask, prioritise, and work under pressure.
  • High level of integrity, discretion, and professionalism.
  • Basic understanding of accounting processes (preferred).
C. Experience
  • At least 2–3 years of working experience in a similar role.
  • Experience working closely with senior executives is preferred.

3. Working Conditions
  • Office-based with occasional travel or off-site support.
  • Working beyond normal hours may be required depending on schedule demands.
  • Must be able to respond promptly to urgent matters.
