Position Title: Union Clerk - Media Sector, Malaysia
Classification: Salary commensurate with experience
Offering salary: RM2,500
Hours: 9-5pm Monday to Friday
Reports to: NUJM Executive Secretary General Secretary and President
Location: NUJM Headquarters, Brickfields, Kuala Lumpur
The National Union of Journalists Peninsular Malaysia is looking to recruit a union clerk to in the Media Union, including through the administration of the National Union of Journalists of Malaysia (NUJM).
The Administrative clerk will have responsibility for learning the workings of trade union . This is a new role and the person appointed will be responsible for building both NUJM and union organisation more widely in the media sector including through:
The successful applicant will promote the values, principles, and services of the SEIU by providing general clerical and administrative support to assigned staff of the organization. The position will be responsible for drafting, distributing, and filing various forms of correspondence as well as updating and utilizing the organization's database for various administrative tasks.
The position holder will report to the Principle office Bearers and Executive Secretary. This position is a full-time and is based at our Office in Brickfields Kuala Lumpur.
DUTIES AND RESPONSIBILITIES:
- Draft, edit, proofread, and finalize correspondence including forms, memos, letters, collective agreements, statements, memorandum of settlement, memorandums of understandings, memorandums of agreements and other documents from notes, email, messages, and files.
- Respond to telephone, in person or electronic inquiries and/or forward to the appropriate person.
- Assist on seminars and workshop preparations and events.
- Provide general information to members.
- Photocopy and collate documents for distribution, mailing and filing.
- Maintain contact lists in database system.
- Scheduling of all types of meetings and any requirements associated, i.e., hotels and catering.
- Prepare meeting notices and support arrangements of meeting dates with assigned staff.
- Maintain and prepare reports and documents from manual or electronic files, mailing lists and database as required.
- Process incoming and outgoing mail, manually or electronically for assigned staff.
- Send and receive various correspondences, messages and documents using mail or electronic mail.
- Maintain records, correspondence and files of units assigned.
- Process assigned Member Database Service tickets (i.e., collective agreements/member information/retirement
- Sort, process, and verify applications, receipts, expenditures, forms, and other documents.
- Take minutes at assigned meetings.
Other duties as assigned.
To further these aims, the successful applicant must be willing to commit to the trade union movement and the ability to do administrative work and communicate with non-members(journalists) to join and participate in union activities.
They must demonstrate an enthusiastic and proactive approach to trade union movement.
The ideal candidate will be fluent in English and Bahasa Malaysia.
EDUCATION

GENERAL REQUIREMENTS
- Strong knowledge of Microsoft Office Suite (including Excel and Word) and Canva Graphics Designs
SKILLS & COMPETENCIES REQUIRED:
- Must be able to adapt, think quickly, and work in a fast-paced environment
- Strong interpersonal skills, excellent writing, and verbal skills
- Strong conflict resolution skills and the ability to deal with tense situations.
- Self-motivated and able to work independently with minimal supervision.

- Building and maintaining trust relationships with all stakeholders.
Essential skills:
- No experience is needed on the administrative side as candidate will be given on the job training on the administration of the office. Require Microsoft office and Canva skills.
- A knowledge of key challenges facing journalists and media workers in Malaysia.
- A knowledge of the role of trade unions in general and the NUJ in particular would be an advantage.
- The ability to work with a range of unions and rights organisations to advance NUJ interests
- The ability to identify and develop new workplace representatives
- The ability to manage and resolve issues arising from a demanding workload, high levels of expectation and competing priorities in the workplace.
- Knowledge and understanding of current labour legislation and policies
