Admission and Finance Officer

Duties & Responsibilities:

Admission

  • Review all applications to ensure students meet the school’s requirements in terms of academic qualification and other eligibilities
  • Student admission documents, including contract, offer letter, student file and any other consent forms and documents required by the school to be drafted, filled up and collected from students.
  • Support and assist parents or guardians of students throughout the admissions process to ensure a very smooth and pleasant experience is delivered.
  • School bus arrangement and managing bus logistics with an appointed bus provider.
  • Management of the school bus WhatsApp groups and responsible for informing parents and bus company of any changes.
  • Preparing formal letters for submission to parents, newsletters, mailchimp mail blasts etc.
  • Manage phone calls and correspondence
  • Any other duties as assigned by the director and management from time to time.

Finance

  • Issue invoices for School fees and other fees into Xero accounting software.
  • Perform daily cash management duties, including bank transfers and posting of receipts to the accounts receivable sub-ledger.
  • Update accounts receivable and issue invoices timely and accurately.
  • Post and process journal entries to ensure all business transactions are correctly recorded.
  • Update financial data in databases to ensure that information will be accurate and available immediately when deeded.
  • Monitor bank statements for incoming funds and update records.
  • Maintain accounts receivable records to ensure ageing is up to date and credits refunds and collections are applied.
  • Provide statistics on the payment collection progress by Semester.
  • Follow up on collection and allocation of tuition fees, Eca. Trips and miscellaneous, events, payments etc.
  • Follow up with parents and companies on any issues with invoicing and receipts.
  • Month-end closing and reconciliation of accounts.
  • Update student bus lists to reflect new registrations, liaise with the bus company and issue invoices for the bus.
  • Liaise and assist with outsourcing accounting firm for any documents required for submission.
  • Do monthly investor reports.
  • Assist with Malaysia back office management and administration
  • Any other duties as assigned by the director and management

Requirements:

  • Bachelor's degree in any field.
  • Good command of English is required as the need to communicate with expatriate parents of students.
  • Must have good communication and interpersonal skills.
  • Must be a team player, multitasking and able to work independently.
  • Having the ability to access and handle challenging situations.
  • Have at least 3-5 years of working experience in Admissions and Administration within an international school
