The
Assistant to the Managing Director is responsible for a variety of administrative tasks and support the Managing Director with personal affairs management, project support, calendar management, communication & correspondence.

To be successful in this role, you should be well-organized, have great time management skills, handle sensitive and confidential information with absolute discretion, and be able to act without guidance.


Job Tasks and Responsibilities

  • Efficiently manage and oversee the Managing Director's personal matters.
  • To provide and maintain full spectrum of secretarial and administration duties such as arranging meeting schedules, maintaining a proper filing system of documents, arrangement of appointments, travel arrangements, etc.
  • Handle personal correspondence, appointments, and any other relevant tasks or arrangements as needed.
  • Handle sensitive and confidential information with discretion.
  • Process expenses and invoices, ensuring accuracy and timely reimbursement.
  • Manage and coordinate the Managing Director's schedule, including meetings, appointments, and travel arrangements.
  • Prioritize and schedule meetings and events to optimize the Managing Director's time.
  • Arrange travel plans, including flights, accommodations, transportation, and itineraries.
  • Ensure all travel arrangements align with the Managing Director's preferences and business needs.
  • Prepare meeting agendas, materials, and presentations as required.
  • Attend meetings with the Managing Director, take minutes, and follow up on action items.

Requirements:

  • Bachelor's Degree in Business Administration, Management or a related field.
  • Knowledge of design and construction is advantageous.
  • Proven experience as a Personal Assistant to Csuite executive and/or VIP.
  • Exceptional organizational and timemanagement skills.
  • Excellent communication and interpersonal skills.
  • Problemsolving and conflict resolution abilities.
  • Discretion and the ability to handle confidential information with absolute integrity.
  • Flexibility and adaptability to changing priorities and schedules.

Job Types:
Full-time, Permanent, Contract, Fresh graduate

Contract length: 12 months

Salary:
RM2, RM3,000.00 per month
