We are looking for an
Administrative Assistant. You will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.

Responsibilities

  • Provides administrative support to ensure efficient office and clinic operations.
  • Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
  • Maintains physical and digital filing systems.
  • Manage agendas/travel arrangements/appointments etc. for the upper management.
  • Inputs and updates information in databases and spreadsheets.
  • Prepares meeting agendas and takes meeting minutes.
  • Researches as requested and compiles and summarizes information for reports or presentations.
  • Support budgeting and bookkeeping procedures
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Submit and reconcile expense reports such as petty cash.
  • Data entry (sales figures, property listings etc.)
  • Track stocks of office supplies and place orders when necessary such as ordering stationary.
  • Arranging both internal and external events.
  • Presents a positive and professional image for the organization.
  • Any other duties relevant to the needs of the organisation and as directed.

Requirements and skills

  • Diploma in Business Administration, Health Administration or a related field
  • Proven experience as an office administrator, office assistant, or relevant role.
  • Data management and entry skills, including the ability to maintain and improve filing systems.
  • Outstanding communication and interpersonal abilities.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Required language(s): English and Bahasa Malaysia. Knowledge of writing in English will be an added advantage.

RM1, RM1,800.00 per month
