Responsibilities:

Library Management:

  • Catalogue and classify library materials using established systems.
  • Manage library collections, including acquiring new materials, processing donations, and weeding outdated or damaged items.
  • Assist library users in locating resources, providing reference services, and answering inquiries.
  • Maintain the library's physical and digital organization, ensuring materials are shelved correctly and online databases are up to date.
  • Develop and implement library programs and initiatives to promote literacy, lifelong learning, and community engagement.
  • Oversee circulation activities, including loaning and returning items, managing overdue materials, and issuing library cards.
  • Collaborate with teachers and faculty to support curriculum integration and provide instructional resources for classroom use.
  • Stay informed about developments in library science, emerging technologies, and trends in literature and publishing.

Administrative Support:

  • Maintain office supplies inventory and place orders as needed, ensuring adequate stock levels are maintained.
  • Schedule appointments, meetings, and events, and coordinate logistics such as room reservations and catering.
  • Prepare documents, reports, and presentations using word processing, spreadsheet, and presentation software.
  • Assist with financial tasks, such as processing invoices, tracking expenses, and reconciling accounts.
  • Support human resources activities, including maintaining employee records, processing payroll, and coordinating recruitment processes.
  • Provide administrative support for special projects and initiatives as assigned by management.
  • Ensure compliance with organizational policies and procedures, including confidentiality and data protection requirements.

Qualifications:

  • Previous experience working in a library setting, with knowledge of library operations, cataloging standards, and information retrieval tools.
  • Strong computer skills, including proficiency with library management systems, Microsoft Office Suite, and online research databases.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to interact effectively with library users, colleagues, and vendors.
  • Attention to detail and accuracy, particularly in data entry and record keeping.
  • Ability to work independently as well as part of a team, with a positive attitude and a willingness to learn.
  • Familiarity with administrative procedures and office management practices.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and work in a fastpaced environment.
