An Operations Assistant oversees operational activities at every level of Pegasus Studio, Shuttlerock.

An operations assistant also assists in strategizing process improvements to ensure everyone completes their tasks on schedule, prepping all events and setting them up accordingly—the answer to the Studio Lead for final sign-off.

We are looking for an Operations assistant who is always looking for ways to engage their employees and make the workplace more effective and efficient.

They need excellent social skills, and active listening skills. Other vital qualities of an efficient operations assistant are understanding finances, internal management, workflow, and staffing.

Requirements:

  • Microsoft software: Excel, Words, PowerPoint, bonus with knowledge of Adobe Creative Suite.
  • Google Workspace: Google sheet, Google Doc etc
  • At least two years of working experience in a related field is required for this position.
  • Fluent in English and a bonus with multilingualism.
  • Good interpersonal and communication skills and ability to work with all levels of staff.
  • Willing to attend business meetings outside of working hours.
  • Able to work under pressure with a high level of confidentiality and professionalism.
  • Good timemanagement and has strong followthrough abilities and attention to detail.
  • Confident in presenting ideas
  • Good at planning and strategizing
Responsibility

  • Dealing appropriately with correspondence, calls, and visitors, representing the Director as and when required.
  • Provide support by providing a bridge for smooth communication between the director, managers, and staff.
  • Organized daily routine work such as scheduling, prioritizing and confirming appointments and meetings.
  • Responsible for keeping the director updated on any issues or information gathered in meetings, events, activities, or other significant information.
  • To support the Director in preparing reports, presentations, proposals, and meeting materials.
  • To research and compile information as requested by the Director.
  • Organize the travel plans and itinerary of the directors and make necessary booking arrangements.
  • Maintain strict confidentiality and interact professionally with all levels of management, staff, and clients.
  • Provide hospitality to all guests and help to create a welcoming environment.
  • Assist HR with recruiting whenever necessary.
  • Help promote a company culture that encourages top performance and high morale.
  • Oversee and assist with budgeting, reporting, planning, and auditing.
  • Work with senior stakeholders.
  • Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations.
  • Work with the management team to determine values and mission,
  • Build alliances and partnerships with other organizations.
  • Support staff communication with the management team
