Position Overview:

As an Operations Executive at our dynamic Team Building & Events Company, you will play a vital role in the planning, coordination, and execution of various team building activities and events for our diverse clientele. You'll be responsible for ensuring seamless operations, exceptional customer experiences, and the successful realization of our clients' vision for their events.

Key Responsibilities:

Event Planning and Coordination:

  1. Work closely within departments and other co-workers to understand client's event goals, objectives, and requirements.
  2. Develop detailed event plans, timelines, and budgets based on client specifications.
  3. Source and coordinate event venues, equipment, catering, transportation, and other necessary services.
  4. Work closely with vendors, suppliers, and partners to negotiate contracts and secure necessary resources.

Logistics Management:

  1. Oversee all logistical aspects of events, including setup, teardown, and on-site coordination.
  2. Ensure all equipment and materials are properly prepared, transported, and set up according to plan.
  3. Coordinate with vendors and suppliers to manage inventory and ensure timely delivery of goods and services.

Team Building Activities:

  1. Assist in designing engaging team building activities and programs tailored to each client's objectives.
  2. Coordinate the logistics and execution of team building exercises, workshops, and challenges.
  3. Provide support during team building activities to ensure participants have a positive and rewarding experience.

Client Communication:

  1. Maintain open and clear communication with clients throughout the event planning process.
  2. Address client inquiries, concerns, and requests promptly and professionally.
  3. Provide regular updates to clients regarding event progress, adjustments, and any changes.

Quality Control:

  1. Conduct thorough checks to ensure that all event elements meet quality standards and align with client expectations.
  2. Troubleshoot and resolve any issues that may arise during events, making real-time decisions to ensure smooth operations.

Documentation and Reporting:

  1. Maintain accurate records of event details, expenses, and communication with clients and vendors.
  2. Prepare post-event reports, highlighting successes, challenges, and areas for improvement.
  3. Work closely with the sales and marketing teams to support business development efforts.
  4. Collaborate with fellow Operations Executives and team members to share best practices and enhance operational efficiency.

Qualifications and Requirements:

  1. Bachelor's degree in Event Management, Hospitality, Business, or a related field (or equivalent experience).
  2. Proven experience in event planning, operations, or a related role.
  3. Strong organizational and multitasking skills, with exceptional attention to detail.
  4. Excellent communication and interpersonal abilities.
  5. Problem-solving skills and the ability to remain composed under pressure.
  6. Proficiency in event management software, Excel Sheet, Microsoft Word, PowerPoint, and other relevant tools.
  7. Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
  8. A passion for creativity, innovation, and delivering outstanding customer experiences.
