Personal Assistant to Director

The ideal candidate will be responsible for a range of activities which will assist this organization's leadership. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary. This role also requires providing chauffeur service for the CEO, ensuring punctuality, comfort, and safety. The candidate should have a strong desire to learn, adapt, and expand responsibilities.

Personal Assistant Responsibilities

  • Coordinate and schedule calendar appointments
  • Manage all incoming and outgoing communications
  • Plan and coordinate events
  • Assist with company daily administration, procurement and general office management
  • Make ad-hoc arrangement of flight and accommodation for colleagues
  • Manage CEO leave system and expense claims
  • Consolidate data using Excel or prepare PowerPoint slides
  • Research and gather information
  • Taking of minutes of meeting
  • Any other duties as assigned from time to time
  • Handle highly confidential and sensitive documents

Driver Responsibilities

  • Provide chauffeur services for the CEO, ensuring punctuality and a comfortable ride
  • Maintain the cleanliness and upkeep of the CEO's vehicle
  • Plan routes and drive efficiently to avoid delays
  • Ensure vehicle maintenance scheduled (e.g., servicing, inspections) are followed
  • Adhere to traffic laws and safety regulations at all times
  • Assist in running business or personal errands when required
  • Standby to drive outside of standard working hours when necessary

Job Requirements

Experience/Skills:

  1. High Proficiency in MS Office Suite
  2. Financial and accounting statement language
  3. Experience in the Construction/ Property field added advantage
  4. Experience with dealing with government departments added advantage
  5. Bachelor's degree or equivalent
  6. Ability to travel when required
  7. Ability to handle multiple tasks while staying organized
  8. Possess a valid Malaysian driving license with a clean record
  9. Familiarity with Kuala Lumpur routes and traffic conditions

Working Hours

  • 5 days a week (Weekdays)
  • Monday to Friday: 10:00am - 6:30pm OR 11:00am - 7:30pm
