Administrative Job Scope

  1. Problem Solving: Identify and resolve operational and logistical challenges effectively.
  2. Solution Implementation: Develop and execute solutions to ensure smooth workflows.
  3. Documentation Management: Handle and maintain accurate records of all documentation work.
  4. Site Completion Oversight: Ensure all site-related tasks are completed and reported appropriately.
  5. Technical Team Arrangement: Organize and allocate technical staff for support as needed.
  6. Customer Appointments: Schedule and confirm appointments with customers.
  7. Document Preparation: Prepare, review, and organize necessary documents for operations.
  8. Purchase Order Management: Process and monitor purchase orders efficiently.
  9. Payment Processing: Handle payments and ensure timely transactions.
  10. Salary Calculation: Calculate and process employee salaries accurately.
  11. Expense Management: Monitor and manage company expenses effectively.
  12. General Administrative Support: Provide comprehensive support for all administrative tasks as required.

Responsibilities:

  1. Documentation & Record Keeping: Manage and maintain accurate records, including reports, invoices, and purchase orders.
  2. Team Coordination: Arrange schedules for installers and technical teams, oversee site completion and ensure proper reporting.
  3. Customer Management: Schedule and confirm customer appointments, address customer inquiries professionally, process payments, and maintain billing notes.
  4. General Administrative Support: Solve operational issues and implement solutions, provide overall support for daily administrative operations.

Requirements:

  1. Qualifications & Skills: Diploma or Degree in Business Administration, Management, or a related field; Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); Strong organizational and multitasking abilities.
  2. Experience: At least 1-2 years of experience in administrative or office management roles (preferred).
  3. Personal Attributes: Excellent problem-solving and communication skills; A proactive and detail-oriented mindset; Ability to work independently and as part of a team.
