Administration Executive

(Kuala Lumpur, Malaysia)

Your Mission

Reporting directly to the HR & Admin Director, the successful candidate will be responsible for providing comprehensive administrative support to ensure efficient operation of the office. The Administrative Executive will assist managers and employees by performing various tasks to help them manage their day-to-day administrative duties effectively.

What You Will Do

Office Management:
  • Oversee daily operations of the office including managing office supplies, inventory, and equipment maintenance.
  • Ensure office environment is organized, efficient and conducive to productivity.
Administrative Support:
  • Provide administrative support to various departments including scheduling meetings, organizing travel arrangements, and managing calendars (office attendance).
  • Prepare and manage correspondence, reports and presentations (including welcoming visitors/guests).
Communication:
  • Act as the point of contact for internal and external general communications.
  • Handle inquiries and manage relationships with vendors and service providers.
Data Management:
  • Maintain accurate records and files, both electronic and hard copy, and ensure data security.
  • Assist in the preparation of various reports and presentations (including overtime, training and security reports).
Team Collaboration:
  • Collaborate with team members to facilitate project management and coordination.
  • Support the onboarding process for new employees, including setting up workplaces and conducting orientation.
Other:
  • Ensure statutory requirements are adhered to at all times.
  • Promote a safe and healthy working environment within the company.
  • Fully support and implement GMP, HACCP, FSSC22000, HALAL, Golden Unicorn and other systems by the company.
What We Expect From You
  • Minimum diploma / Degree in Business Administration or other related field.
  • Minimum 3 years working experience in an administrative role or similar position.
  • Computer literate with proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Good command of English & Bahasa Malaysia. Other dialects are an added advantage.
  • Knowledge of Assets Management is an added advantage.
  • Strong organisational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Pro-active, enthusiastic and able to work independently while being part of a team.
  • Detail-oriented and proactive in problem-solving.
  • Cheerful personality with positive vibes.
