Reports to: General Manager, Asia

Objectives

Managing and guiding Compliance & Quality across the business unit. This remit of responsibility consists of ensuring a culture that is in line with the Group Code of Conduct while maintaining quality and compliance processes, procedures, and activities in line with Divisional and Group strategy.

Responsibilities

Compliance Management

  • Ensure the culture of the business unit is in line with the 'Group Code of Conduct'.
  • Uphold compliance procedures and practices against best practice and regulatory standards.
  • Responsible for ensuring, with the support of the compliance team, the implementation and continuation of the Compliance Management System (CMS) based on ISO 37301 is carried forward and implemented within the business units.
  • Create, coordinate, and ensure monthly compliance meetings and reviews with the compliance team are held to review change requests, gather monthly reporting information, and identify areas of concern in relation to compliance.
  • Ensure that the "Product Compliance Register" is maintained and brought in line with the Group Compliance Manual.
  • Review new and existing laws, regulations, policies, and industry standards and identify existing and emerging business practices, issues, and risks to the company.
  • Prepare for audits and be responsible for maintaining and operating the standard operating software for the management of findings regarding non-conformance requirements (NCs) and corrective actions from Division, Group, and third-party audits.

Quality Management

  • Work with Site Management to support site quality personnel, setting clear expectations, establishing accountability, and supporting and monitoring progress in achieving objectives.
  • Maintain a transparent relationship with both team and management to ensure concerns and non-conformance are communicated and acted upon.
  • Ensure the necessary controls are in place to govern the diverse range of testing performed at all locations.
  • Support Quality personnel training requirements to maintain competence, develop capability, and promote professional development.
  • Embed and drive a culture of quality assurance and quality improvement through identification and implementation of best practices.
  • Support Divisional standardization of critical procedures and processes in support of group compliance and lean initiatives.
  • Monitor and support the implementation of e-IMS in the business unit, ensuring full usage of the agreed modules through the team.
  • Quality Management has the authority to stop, change, or remove a process that may produce deviation from agreed specifications or place the organization in breach of its legal obligations, including but not limited to:
    • Suspend production of product with known technical defects
    • Stop production on non-conforming product
    • Scrap non-conforming product.
  • Work with Site Management and Division to support third-party audits and ensure findings are responded to in line with the established quality system requirements, on time and correctly formatted.
  • On-going personal professional development in line with job role.
  • Maintain up-to-date knowledge of quality, safety, environmental, energy, and compliance standards and regulations.
  • Provide performance management, learning, and development to the team.

The Compliance & Quality Officer will primarily operate in office environments but may be exposed to the following:

  • Test Laboratories: Visits to testing facilities will require adherence to safety protocols, including wearing appropriate PPE (e.g., safety glasses) as per test lab guidelines.
  • Construction Sites: Adherence to site safety protocols will be required during visits, including the use of appropriate PPE such as hard hats, vests, and protective footwear.
  • Production Facilities: While visiting manufacturing sites, the role may involve exposure to machinery, noise, and industrial processes, requiring compliance with safety regulations in these environments.

Qualifications - Essential

  • Engineering Graduate or closely related studies.
  • Formal qualifications in Quality, Product Compliance, and management systems (e.g. Six Sigma, ISO 9001, and ISO 37301).
  • Multilingual abilities to support communication with a diverse base.

Qualifications - Preferred

  • Masters in Engineering, Process, Project management, or closely related studies.

Experience - Essential

  • Minimum five (5) years of industry experience.
  • Knowledge and understanding of Integrated Management Systems.
  • Competent in Microsoft Windows, Excel, and Word.
  • Experience in the administration of accredited management systems (e.g. ISO 9001 and ISO 37301).

Experience - Preferred

  • Experience with MS SharePoint and Ideagen Q-Pulse or similar software.
  • Multilingual abilities to support communication with a diverse employee and client base.
