The Supervisor, Accounts Payable will be responsible for supervising the KL Shared Service Centre (KLSSC) Accounts Payable team, providing support from a strategic perspective as well as ensuring the operating efficiency and effectiveness of the Accounts Payable team. This includes providing supervision and coaching to the Accounts Payable team and communicating/standardizing Accounts Payable processes within the Group, in order to meet agreed service target and deliverables. This role will report to the Accounts Payable Manager.

Job Responsibilities:

Operational:

  1. Manage a team of 7 members.
  2. Ensure team follows the company policy and procedures.
  3. Ensure invoice processes are as per approval limits and per company DOA.
  4. Ensure month-end closing for Accounts Payable function per timeline given.
  5. Responsible for ensuring KPIs for Accounts Payable are met, including SLA, accuracy, and volume.
  6. Approach business entities to resolve their concerns and queries.
  7. Support the review of invoicing, intercompany process, and other related functions.
  8. Work closely with other AP functions (Payment, Vendor Master, and T&E leads).
  9. Guide and assist the AP team for vendor reconciliation.
  10. Point of contact for stakeholder escalations.
  11. Preparation for month-end closing activities, including accrual report.
  12. Manage and mentor direct reports to build strong and competent team members.
  13. Lead hiring efforts for AP team, including interviewing and onboarding.
  14. Manage team task allocation and team development process.
  15. Liaise with internal and external auditor queries.
  16. Perform any other duties as assigned by the AP Manager.

Strategic:

  1. Lead migrations and knowledge transfers for new acquisitions, prepare relevant documentation, and drive process consistency & standardization.
  2. Support all integration, migration, and knowledge transfer activities for new business acquisitions into the KL SSC.
  3. Support standardization of processes and procedures between legacy entities and new entities.
  4. Interact with other departments and Business Unit heads to coordinate the achievement of business objectives.
  5. Drive process consistency and standardization to optimize operational efficiency.
  6. Highlight areas of concern for non-compliance of corporate policy and procedures.
  7. Identify areas of risk and recommend solutions and best practices.
  8. Participate in the ongoing documentation and updating of company SOP, policy, and procedure manuals.
  9. Responsible for conducting meetings with stakeholders.

Requirements:

  1. 5+ years of experience in AP invoice processing.
  2. Highly proficient in the Accounts Payable (AP) process including invoice, credit processing, and intercompany.
  3. Ability to perform account and statement reconciliations including liaising with vendors.
  4. Intermediate to advanced Microsoft Office skills (Excel, Word, PowerPoint, and Outlook).
  5. Excellent verbal and written communication skills.
  6. High degree of accuracy, attention to detail, and record keeping.
  7. Ability to troubleshoot, research, and produce results.
  8. Ability to undertake new tasks quickly, be flexible, and respond effectively to challenges.
  9. Self-motivated and able to work independently.

Preferred Skills:

  1. Experience with Coupa.
  2. Experience with Microsoft Navision.
