Job Summary:

We are seeking a highly organized and proactive Divisional Head Executive Assistant with a strong accounting background and a data-driven mindset. This role is essential in providing comprehensive support to the Divisional Head, ensuring efficient operations and effective decision-making through meticulous data analysis and financial oversight. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Provide high-level administrative support to the Divisional Head, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.
  • Serve as a liaison between the Divisional Head and internal/external stakeholders.
  • Assist in the preparation and analysis of financial reports, budgets, and forecasts.
  • Gather, analyze, and interpret data to support strategic decision-making and operational improvements.
  • Develop and maintain dashboards and reports to track key performance indicators (KPIs) and departmental metrics.
  • Identify trends and provide actionable insights based on data analysis.
  • Support the Divisional Head in managing special projects and initiatives, ensuring timely completion and alignment with organizational goals.
  • Coordinate cross-functional teams and facilitate communication to ensure project milestones are met.
  • Prepare correspondence, reports, and presentations as needed.
  • Handle confidential information with discretion and professionalism.
  • Identify opportunities for process improvements and implement best practices to enhance operational efficiency.

Qualifications:

  • Bachelor's degree in accounting, Finance, Business Administration, or a related field.
  • Proven experience as an executive assistant or in a similar role, preferably within a corporate environment.
  • Strong accounting knowledge and experience with financial reporting and analysis.
  • Proficiency in data analysis tools (e.g., Excel, Power BI, Tableau) and accounting software (e.g., QuickBooks, SAP).
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Strong analytical and problem-solving skills with a keen attention to detail.
  • Exceptional verbal and written communication skills.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • High level of discretion and professionalism in handling sensitive information.

Working Conditions:

  • Must be responsive and adaptable to the dynamic needs of the Divisional Head and the division.
  • Willingness to work extra hours as needed to meet deadlines or accommodate the Divisional Head's schedule.
