Job SummaryTo support our extraordinary teams who build great products and contribute to our growth, we're looking to add a/an Senior Executive Assistant located in Batu Kawan, Penang.
What a typical day looks like:
- Manage and organize schedules
- Coordinate and schedule staff & all-hands meetings.
- Make travel arrangements, including detailed itineraries, visa applications, and hotel reservations.
- Manage travel and entertainment budget planning and submit expense reports.
- Organize, and coordinate employee engagement initiatives and related events.
- Oversee office space needs, including the setup of workstations for new hires.
- Maintain standards in the upkeep of office facilities and equipment, including stationery and pantry supplies.
- Manage yearly contracts such as office rental and company insurance related to administrative functions.
- Deliver high-quality administrative support services to top management while handling confidential information.
- Create and manage publicity of site newsletter, SharePoint sites, and update organization charts.
- Compile and organize finalized minutes, notes, and follow-up tasks ensuring accurate capture and organization.
- Prepare PowerPoint presentation as required by management
- Draft and prepare internal and external correspondence including letters and memos.
- Maintain the filing system and document preparation for various administrative needs.
- Manage monthly budgetary control for general expenses and staff expense claims.
- Perform other ad hoc duties and assignments as required to support management and operations.
The experience we're looking to add to our team:
- Typically requires a minimum of 10 years of experience in business and/or administration.
- Typically requires completion of high school, vocational training, or equivalent with experience in the use of computer applications plus general clerical experience.
- May require minimal functional process knowledge.
