Job Overview

At Pickle Social Club (PSC), finance is the life source as it is a vital part of the business. The Finance & Admin Executive will support the Finance Manager in operating PSC and its sister brand, TRIBE, finance function, ensuring proper and robust financial records are kept. The candidate will also assist with regular and timely financial reporting to management and support the smooth operation.

As the company is moving and growing at a fast pace, a high degree of adaptability is expected and required for this role. We are constantly learning new things and adapting our strategy and activities accordingly.

Job Roles & Responsibilities

  1. Finance & Accounting
    1. Handle full set of accounts, including accounts payable (AP), accounts receivable (AR), general ledger (GL), bank reconciliations, etc.
    2. Assist in the preparation of financial reports, cash flow statements, and budgeting.
    3. Process and verify invoices, expense claims and payments.
    4. Maintain financial records and ensure accurate data entry in accounting systems.
    5. Support month-end and year-end closing activities, ensuring timely reporting.
    6. Liaise with auditors, tax agents, and external consultants on financial matters.
  2. Administration & Office Management
    1. Oversee office operations, ensuring all administrative tasks are handled efficiently.
    2. Maintain organized records of company documents, contracts, and employee files.
    3. Coordinate with vendors, suppliers, and service providers for office needs.
    4. Manage procurement of office supplies and ensure office facilities are well-maintained.
    5. Assist in HR-related administrative tasks such as payroll processing.
  3. Compliance & Regulatory Matters
    1. Ensure compliance with financial regulations, tax requirements, and company policies.
    2. Assist in the preparation of statutory filings, SST/GST submissions, and other regulatory requirements.
    3. Keep up to date with changes in financial and tax regulations that may affect the company.
  4. Operational Support
    1. Assist in financial planning, cost control, and budget monitoring.
    2. Support internal process improvements to enhance efficiency in financial and administrative operations.
    3. Work closely with different departments to ensure smooth coordination of financial and administrative matters.
    4. Handle ad-hoc finance and administrative tasks as assigned by management.

Minimum Requirements

  1. Either a minimum of a Bachelor's Degree in Accounting (or a related field) or demonstrable experience in finance together with the potential and attitude required to learn.
  2. Comfortable with technology and applications - Quickbooks, Microsoft Office, Google Spreadsheets, etc.
  3. Have excellent written and verbal English communication skills.
  4. Works well independently as well as in a team with a sense of urgency, responsibility, result-oriented and committed to meeting deadlines.
  5. Positive attitude, organised and highly motivated.
  6. Self-motivated, flexible and proactive attitude.
  7. Strong organisational skills including the ability to multi-task and manage competing priorities.
  8. A keen eye for detail, organised, great at execution and able to work autonomously in a fast-paced, start-up environment.
