About The Role

This position will collaborate with key stakeholders from the Australia and New Zealand Operations team to initiate and deliver Knowledge Management projects, initiatives and changes or enhancements.

Responsibilities

  1. Assist in administrative tasks and support the day-to-day operations of the team.
  2. Assist respective teams in reporting, data analysis and case management.
  3. Own, simplify or automate reports, trackers and other tools.
  4. Collaborate with stakeholders and Subject Matter Experts across a wide range of departments on any possible process improvement or automation.
  5. Lead the process engineering in collaboration with respective relevant parties to ensure the highest level of service quality are met.
  6. Support implementation of any other initiative that is assigned to the Knowledge Management team.
  7. Successful execution of assigned projects as per the stipulated timeline.
  8. Collaborate with cross-functional teams to ensure flawless execution of projects and initiatives.
  9. Help build and maintain world-class operational processes and procedures.
  10. Contribute to the development and implementation of marketing strategies and campaigns.
  11. Support the team in driving customer engagement and building meaningful connections.
Secondary Roles

  1. Document all relevant operation processes.
  2. Establish and ensure the standard operating templates are consistently used for process documentation.
  3. Design change management plans, programmes and communication to ensure effective roll out of changed processes.
  4. Partner with Subject Matter Expert in respective teams for upskilling support, including On Job Training checks.
  5. Provide support in above mentioned roles and responsibility and uplift team leaders' role on staff development and conversation.
  6. Internal (80%) – bi-weekly/ monthly meetings with respective team leaders, monthly meeting with team, 1 on 1 conversation with own's team manager and progressive or updates on OSS' strategy results with Head Of Department.
  7. External (20%) – Progressive or ad hoc catch-up session with business partners on any reporting related item.
  8. Anticipate potential problems and provide proactive solutions promptly.
Requirements

  1. Experience in MIS field with Microsoft Excel & Power Query knowledge.
  2. Microsoft VBA (added advantage).
  3. Following Australia working calendar & working hour.
  4. Attention to detail and ability to prioritize tasks effectively.
  5. Effective communication abilities to work together with individuals both within and outside the organization.
  6. Strong determination and motivation to achieve personal and team objectives.
  7. Ability to work in a fast-paced environment and compete under deadlines.
  8. Openness to learn new ways of automation.
