Facilities Executive HSBC Malaysia

What this job involves:

  1. Prioritizing the facilities' needs: Working with both the facilities manager and the assistant facilities manager, you'll oversee the property's day-to-day operations and ensure that all administrative functions, security issues, and facility services are covered. You'll strive for continuous improvement in the process.
  2. You'll keep an eye on the property's supplies and ensure that it has adequate stocks and materials to keep the operations smooth like a well-oiled machine. You'll manage supply and service contracts as approved by clients.
  3. You'll help mitigate risks by taking part in emergency evacuation procedures and handling crisis management and business continuity plans. You'll also be on top of health and safety issues that may arise and actively participate in reviewing them.
  4. You'll monitor the property's budget, ensuring that there's enough petty cash to support operations and that vendor invoice processes comply with standards.

Client satisfaction is second nature to the person in charge. In this role, you'll take on difficult issues and seek out opportunities to improve operations. You'll be constantly in tune with the team to achieve key performance metrics and meet service level agreements.

You'll carry out routine service audits to ensure that the team maintains its overall performance. You'll create stock reports, meeting minutes, and monthly management reports for the clients.

Some of the responsibilities are as below:

  1. Develop and implement preventive/corrective maintenance programs for M&E installations.
  2. Manage a team of in-house maintenance technicians and requisite M&E equipment/parts, i.e., HVAC, gen-set, and UPS, as well as attend to complaints relating to M&E services that may jeopardize bank operations.
  3. Develop a maintenance plan for the fire safety system, coordinating fire safety audits and inspections by the fire department (Bomba).
  4. Requisite fire safety equipment and parts, and follow up and investigate incidents or complaints relating to fire safety in the clients' premise facilities.
  5. Coordinate daily work orders through Corrigo and ensure work completion within the SLA set by the organization in accordance with contractual compliance.
  6. Review and approve safety permits submitted by subcontractors/vendors prior to work commencement to ensure safety compliance.
  7. Annual renewal of statutory permits, i.e., PMA, gen-set certifications, fire extinguishers, etc., including liaison with local authorities such as DOSH, Bomba, and the Energy Commission.
  8. Follow through the tender, evaluation, and recommendation of service or term contracts, as well as their administration and management.
  9. Conduct general inspections to identify services for rectification and oversee subcontractors' performance in accordance with contractual work scope and timeline of completion.
  10. Prepare yearly and ad-hoc budgets and forecasts for property management in the clients' estate and premise facilities.

You must also demonstrate good working knowledge in occupational safety, as well as aptitude in client-centric operations.
