Project Coordinator

The Project Coordinator plays a pivotal role in Fulcrum, administering and organizing all types of projects, from simple activities to more complex programmes. With a keen eye for detail and exceptional organizational skills, the Project Coordinator ensures the seamless execution of both projects and proposals from inception to completion. By closely collaborating with cross-functional teams, managing resources, and maintaining open lines of communication, this role offers a unique opportunity to contribute to dynamic projects, foster team growth, and make a meaningful impact on our clients’ successes.
**Project Coordination**:
- Develop project management activities including plans, timelines, budget, requirements, resources, information and objectives
- Monitor project progress and ensure adherence to established schedules and milestones
- Maintain clear and regular communication channels between team members and relevant external stakeholders
- Organize and facilitate project meetings, including preparing agendas, documenting minutes, and tracking action items
**Team Management**:
- Assign tasks and responsibilities to team members, ensuring alignment with project goals and individual skills
- Foster a positive and collaborative team environment, encouraging knowledge sharing and skill development
**Documentation and Reporting**:
- Manage accurate project documentation and up-to-date records of project activities and decisions, including project plans, status reports, decisions and feedback
- Prepare and distribute regular status updates to stakeholders (external and internal), highlighting project achievements, challenges, and upcoming milestones
**Resource Management**:
- Implement quality control measures to ensure deliverables meet Fulcrum’s standards and specifications
- Conduct regular reviews and assessments of project outputs, identifying areas for improvement and implementing corrective actions as needed
**Risk Management**:
- Proactively identify and resolve potential project-related issues, risks, and roadblocks and develop mitigation strategies
- Monitor risk factors throughout the project lifecycle and adjust plans as necessary to address emerging challenges
**Stakeholder Engagement**:
- Engage with project stakeholders, including current clients, prospective clients, vendors, and internal teams, to gather requirements, provide updates, define objectives and address inquiries
- Foster positive relationships with all stakeholders, managing their expectations and ensuring alignment with project objectives
**; Requirements**:
- Professional proficiency in English AND at least Bahasa Melayu OR Mandarin
- A minimum of 3 years of proven experience in project coordination or a similar role, demonstrating a successful track record in managing projects from initiation to completion
- Strong familiarity with project management methodologies, tools, and techniques
- Exceptional organizational skills, with the ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment
- Excellent interpersonal and communication skills, capable of liaising with cross-functional teams, stakeholders, and external partners
- Proficiency in project management software and tools to facilitate planning, tracking, and reporting
- Detail-oriented mindset, ensuring accuracy and quality in project documentation and deliverables
- Leadership qualities with the ability to motivate and guide a team of Business Associates, fostering a collaborative and high-performing work environment.
