Responsibilities/Main Activities:
Hexagon Asset Lifecycle Intelligence is looking for a Proposals Management Administrator to join our team in Malaysia

Responbilities:

- Produce professional, timely responses to assigned EOI, RFI, ITB, RFX Tender Responses to Hexagon PPM company standards
- Review customer provided documentation to produce accurate, consistent and professionally formatted documents based on company branding and proposal guidelines, including the use of styles and formatting and inclusion of appropriate images and tables
- Select and suggest standard content for inclusion in the proposal response where appropriate, re-write / edit proposal responses and review with stakeholders to meet the needs and requirements of each proposal. Using appropriate company sources such as intranet and company share points, other repositories and websites.
- Manage the document development and production process, identifying and gathering relevant information as needed from personnel in other departments, including sales representatives, technical presales resources, marketing, product teams, finance, legal and service delivery
- Support the Proposal Manager and/or the Opportunity Owner in coordinating team progress calls, formal reviews and governance as required for each proposal. Agree actions and proposal target dates/milestones and prepare the required proposal trackers
- Provide regular status updates on the document completion progress, the needs and assignments of the proposal activity to the bid/proposal team and to the Proposal Manager
- Reporting pursuit effort for RFX support requests on GoSell and other systems as required to track assigned activity to the Proposal Manager.
- Help to maintain re-useable content and the APAC Proposal Library, ensuring that copies of the final proposal documents are captured and added to the appropriate systems.

Qualifications and Experience Required:
Qualifications:

- Typically Diploma or degree in business, marketing, technical writing
- A Minimum of 1-3 year experience in proposal support, proposal writing or writing customer facing marketing or technical is content preferred.
- Excellent attention to detail is required including formatting, grammar, layout and spelling.
- You must possess effective time management skills, coordinating numerous simultaneous proposals and meeting internal and customer deadlines
- Be flexible with regards to the work and be able to adjust focus and priorities when necessary, working in an environment of deadlines and the potential for changing priorities
- Basic Contract Management knowledge including appreciation of legal risks from different commercial models in the tender
- Effective Stakeholder engagement and project management skills are crucial to your ability to succeed in this role
