Administration and Accounts Executive

Are you looking to contribute to a dynamic team while ensuring seamless daily operations? We’re on the lookout for a proactive **Administration & Accounts Executive** to join our team
**Responsibilities**
Responsible for the day to day operations by providing prompt and efficient administrative support for the Management Office.
**General Duties**:
- Greet tenants, resident, visitors, contractors, workmen, etc. and provide directions and general assistance.
- Assist in compilation of monthly and quarterly reports and to ensure timely submission.
- Type/compose minutes of meetings, letters, memos and other documents as directed.
- Handle all inward and outward correspondences.
- Maintain accurate files and records that may be easily accessed by all.
- Receive telephone calls and direct callers to the appropriate officers and provide available information, where required.
- Making requisition of management office stationery and maintain inventory.
- Provide other administrative support to the office when necessary.
- Photocopying, faxing, scanning and file administration as needed.
- To carry out other duties that may be assigned from time to time by the supervisor.
**Specific Duties**:
- Monthly Baring of access cards.
- Follow up on payments & issue receipts, update names in the system & data updating for carpark rental scheme follow-up.
- Yearly Fire insurance policy billing.
- Quarterly Maintenance fees & Sinking Funds billing Monthly Water billing.
- Monthly statement issuance.
- Checking/Liaising directly with IT departments on any system issues.
- Attend to incoming leaking & other defects complaints & follow-up appointments.
**Requirements**:
- Possess at least SPM/Certificate/Diploma/Degree in any fields.
- Required languages: English and Malay. Chinese will be a bonus.
- Previous office experience preferred.
- Experience with Microsoft Office programs (Outlook, Word, Excel, Access, Power Point).
- Strong work ethic, positive attitude, and good judgement.
- Excellent communication and listening abilities.
- Ability to exercise discretion and maintain confidentiality.
- Analytical and detail-oriented.
- Ability to handle multiple tasks/assignments.
- Punctual attendance.
- Those with accounts experience will have an added advantage.
- Fresh graduates (Diploma & Degree holders) are encouraged to apply.
