**Job Summary**:
**Key Responsibilities**:

- **Office Management**:

- Oversee daily office operations to ensure a smooth workflow.
- Manage office supplies inventory and place orders as needed.
- Coordinate and supervise office maintenance and repairs.
- Handle incoming and outgoing mail and deliveries.
- **Administrative Support**:

- Prepare and format documents, reports, and presentations.
- Assist in the preparation and execution of company events and meetings.
- Handle confidential information with discretion.
- Provide executive support to senior management
- **Communication**:

- Serve as the point of contact for internal and external communication.
- Draft, proofread, and send correspondence on behalf of the executive team.
- Facilitate effective communication between departments and team members.
- **Record Keeping**:

- Maintain accurate and up-to-date filing systems, both electronic and physical.
- Organize and archive documents and records according to company policies.
- Assist in data entry and management of company databases.
- **Project Assistance**:

- Support special projects and initiatives as required by the management team.
- Track project timelines and deliverables, ensuring deadlines are met.
- Prepare project-related reports and updates.
- Provide support to clients and stakeholders as needed.
- Handle inquiries and resolve issues in a timely and efficient manner.
- **Compliance and Procedures**:

- Ensure compliance with company policies, procedures, and regulations.
- Assist in the development and implementation of office procedures and policies.
- Conduct regular reviews of administrative processes and recommend improvements.

**Qualifications**:

- Diploma/Bachelor’s degree in Business Administration, Management, or a related field preferred. Relevant certifications or diplomas may be considered.
- Minimum of 1 year of experience in an administrative or executive support role.
- Experience with office software (e.g., Microsoft Office Suite) and office equipment.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to multitask and prioritize tasks effectively.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Proactive and adaptable to changing priorities and tasks.

**Languages**:

- English and Mandarin (preferred)
