Duties and Responsibilities:

  • Operational Challenges: Identify and resolve operational and logistical challenges effectively.
  • Solutions Development: Develop and execute solutions to support the growth of our business.
  • Documentation Handling: Handle and maintain accurate records of all documentation work.
  • Site Completion Monitoring: Ensure all site-related tasks are completed and reported appropriately.
  • Technical Staff Allocation: Organize and allocate technical staff for support as needed.
  • Customer Scheduling: Schedule and confirm appointments with customers.
  • Document Organization: Prepare, review, and organize necessary documents for operations.
  • Purchase Order Processing: Process and monitor purchase orders efficiently.
  • Payment Handling: Handle payments and ensure timely transactions.
  • Salary Processing: Calculate and process employee salaries accurately.
  • Expense Management: Monitor and manage company expenses effectively.
  • Administrative Support: Provide comprehensive support for all administrative tasks as required.

Key Responsibilities:

  • Record Management: Manage and maintain accurate records, including reports, invoices, and purchase orders.
  • Team Coordination: Arrange schedules for installers and technical teams, oversee site completion and ensure proper reporting.
  • Customer Relations: Schedule and confirm customer appointments, address customer inquiries professionally, process payments, and maintain billing notes.
  • General Support: Solve operational issues and implement solutions, provide overall support for daily administrative operations.

Requirements:

  • Qualifications & Skills: Diploma or Degree in Business Administration, Management, or a related field; Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); Strong organizational and multitasking abilities.
  • Experience: At least 1-2 years of experience in administrative or office management roles (preferred).
  • Personal Attributes: Excellent problem-solving and communication skills; A proactive and detail-oriented mindset; Ability to work independently and as part of a team.
