Job Overview

HUACHANG Trading Co., ltd. is seeking a skilled Sales Coordinator Associate to join our team. As a key member of our sales department, you will be responsible for managing orders, coordinating deliveries, and maintaining accurate records.

Key Responsibilities:
  • Order Management: Ensure timely entry of order list information into the company database.
  • Sales Order Issuance: Issue sales orders promptly upon receipt of orders from the sales team.
  • Delivery Coordination: Schedule delivery planning with the warehouse coordinator to guarantee smooth logistics.
  • Database Updates: Regularly update sales details and delivery planning into the company database.
  • Customer Communications: Mail out customer invoices, statements, and official receipts in a timely manner.
  • Sales Agenda Preparation: Prepare a sales agenda and stock list for the sales team to optimize their performance.
  • Reporting: Prepare comprehensive sales achievement reports on a regular basis.
  • Commission Claims: Process customer commission claims and issue salesman commissions according to company policies.
  • Debtor Ageing Report: Provide debtor ageing reports to the sales team for account monitoring.
  • Quotations: Issue quotations for customers as needed, showcasing the company's competitive offerings.
  • Meeting Minutes: Document meeting minutes and maintain a record for future reference.
  • Maintenance of Sales Materials: Ensure adequate supplies of sales presentation materials, including slides, brochures, samples, and forms.
  • Promotion Memoranda: Prepare promotional memoranda for customers to enhance brand awareness.
  • Customer Support: Respond to client inquiries regarding their accounts or sales products, delivering exceptional customer service.
  • Ad-Hoc Tasks: Execute any ad-hoc tasks assigned by management, supervisors, or heads of department as required.
Minimum Requirements
  • Experience: At least one year of experience is preferred for this role.
  • Organizational Skills: Possess strong organizational skills to manage multiple tasks effectively.
  • Interpersonal Skills: Exhibit excellent interpersonal skills to interact successfully with colleagues and clients.
