About the Role

We are seeking an experienced Personal Support Specialist to provide high-level administrative support to our Division EXCO. This includes organizing and managing calendars, scheduling meetings, handling travel arrangements, and assisting with claims submission.

The ideal candidate will have a minimum of 5 years of experience as a Personal Assistant or Executive Secretary, with excellent communication and coordination skills. They will be able to work effectively in a fast-paced environment and adapt quickly to new challenges.

Key Responsibilities:

  • Office Administration: Ensure materials and equipment are prepared promptly for new joiners, and adequate for existing employees.
  • Purchasing Functions: Perform purchasing tasks and render administrative support to the team.
  • Business Continuity Plan (BCM): Maintain and update the department's structured 'Call Tree' and fire drill exercise.
  • HR and Finance Administrative Matters: Monitor mandatory e-learning completion, performance management conversations, and staff engagement surveys.
