Operations and Facilities Coordinator

This exciting opportunity exists for a highly skilled and organized Assistant Manager, Facilities and Office Management to join our team at Touch 'n Go Group. As a key member of the operations team, you will be responsible for managing office facilities, equipment, and services.
Key Responsibilities:- Facilities Management:
- Coordinate office facilities and equipment maintenance, ensuring timely repairs and efficient operations.
- Manage meeting rooms VC equipment, enhancing user experience and providing level-1 support.
- Collaborate with building and facility management teams, facilitating service appointments and permit applications.
- Propose and implement office facility improvements to optimize efficiency.
- Maintain accurate records of office equipment, furniture, and facility-related assets.
- Communicate effectively with stakeholders and draft internal communications as needed.
- Ensure compliance with workplace safety regulations and environmental standards.
- Promote sustainable practices and reduce waste in facility management.
- Contribute to facilities budgeting, expense reviews, and cost-saving initiatives.
- Collaborate with the Office Manager on office layout planning, department seating, and space optimization.
- Assist with office renovation projects, including quotations, contractor coordination, and quality control.
- Support the Office Manager in annual budget planning.
- Participate in OSHA and ERT committees, organizing safety training and annual drills.
- Investigate workplace accidents, document findings, and recommend preventive measures.
- Develop, review, and update safety policies and procedures.
- Perform other duties as OSH Coordinator, including office inspections and hazard mitigation.
- Office Management:
- Manage company insurance processes, ensuring comprehensive coverage and seamless communication with brokers.
- Create purchase requests, process good receipts, and submit vendor invoices for payment.
- Coordinating with the building security team on visitor management.
- Providing general office support and addressing staff inquiries as needed.
- Oversight of daily office operations and performance of regular office inspections.
