Main Responsibilities- Maintain accurate records of equipment maintenance, repairs, and service history, using a Computerized Maintenance Management System (CMMS) or similar software.
- Coordinate and track work orders for maintenance and engineering activities, ensuring timely completion and effective resource allocation.
- Organize and manage engineering documents, manuals, and technical drawings, ensuring easy access and compliance with regulatory standards.
- Assist in scheduling preventive and corrective maintenance tasks, considering factors like downtime analysis and key performance indicators (KPIs).
- Communicate with technicians, engineers, and external vendors to ensure smooth execution of maintenance activities and resolve any issues that may arise.
- Prepare and generate reports related to maintenance activities, downtime analysis, and KPIs, providing actionable insights to inform business decisions.
- Assist in purchasing spare parts, tools, and equipment for the engineering department, working closely with suppliers and vendors to obtain quotes and manage purchase orders.
- Maintain an inventory database and track stock levels to ensure the availability of necessary materials, minimizing delays and optimizing resource utilization.
- Collaborate with the procurement team to develop and implement efficient inventory management strategies, aligning with company goals and objectives.
- Act as a liaison between the engineering department and other teams, fostering effective communication and collaboration to achieve shared goals.
- Assist in organizing team meetings, training sessions, and safety briefings, promoting a culture of open communication and continuous improvement.
- Provide administrative support to engineering leadership, handling correspondence, emails, and scheduling.
- Diploma in Business Administration, Engineering Management, or a related field.
- 2-3 years of experience in administrative support, preferably in an engineering or maintenance environment.
- Proficiency in Microsoft Office and experience with industry-standard software.
- Knowledge of basic engineering and maintenance terminology.
