Administrative Clerk for Registrar's Office

**Key Responsibilities**:
- **Student Records Management**:
Assist with the maintenance, updating, and retrieval of student records in both electronic and physical formats. Ensure all records are accurate, up-to-date, and comply with university policies and regulations.
- **Registration Support**:
Assist students with course registration, adding or dropping courses, and ensuring that registration information is processed accurately. Provide guidance on registration deadlines and procedures.
- **Transcripts and Certifications**:
Process requests for official transcripts, enrollment verifications, and other academic certifications. Ensure timely and accurate delivery of requested documents to students and external parties.
- **Customer Service & Communication**:
- **Data Entry & Documentation**:
Perform data entry tasks to update student records, course schedules, and other documents as required. Ensure all data is entered accurately and within specified timeframes.
- **File Management**:
Maintain organized and secure physical and digital files of student records, forms, and other sensitive documentation.
- **Compliance & Confidentiality**:
Ensure all processes comply with university policies, FERPA (Family Educational Rights and Privacy Act), and other legal or regulatory requirements related to student records. Maintain strict confidentiality of student information at all times.
- **Office Support**:
Perform general office duties such as answering phones, managing office supplies, scheduling appointments, and assisting with other administrative tasks as needed.
**Qualification**:
- Diploma or bachelor’s degree preferred.
- Strong proficiency in written and spoken English.
- Excellent organizational and time-management skills.
- Ability to handle sensitive and confidential information with discretion.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) or similar office software.
- Strong communication skills, both verbal and written.
- Attention to detail and accuracy in data entry and document management.
- Previous experience in an administrative or customer service role is preferred, particularly in a higher education setting.
Pay: RM1,800.00 - RM2,000.00 per month
Schedule:
- Monday to Friday
