**Position Summary**:
The Project Executive plays a key supporting role in ensuring the smooth execution of construction and lighting installation projects. Based primarily in the office, this position is responsible for coordinating technical documentation, preparing shop drawings, maintaining the project schedule, and managing all submission-related paperwork. The Project Executive works closely with the Project Manager, design team, procurement, and site team to ensure that all drawings, materials, and documentation align with project requirements and timelines. This role requires strong organizational, technical, and communication skills to support efficient project delivery from pre-construction to completion.

**1. Drawing & Technical Documentation Management**
- Coordinate, compile, and manage all project-related drawings using AutoCAD or relevant CAD software.
- Prepare and update shop drawings, as-built drawings, and technical submissions (e.g., cut sheets, lighting layouts).
- Maintain version control and ensure timely distribution of drawings to consultants, site teams, and subcontractors.
- Support the project team by providing necessary technical drawings and documentation during planning and execution phases.

**2. Planning & Scheduling**
- Assist the Project Manager in planning, scheduling, and tracking project progress.
- Develop and maintain a detailed master work program using Microsoft Project, breaking down the scope into logical work sequences and milestones.
- Coordinate with procurement and site teams to align schedule with material delivery and site readiness.

**3. Project Documentation & Submissions**
- Prepare comprehensive project documentation, including:

- Material submittals
- Method statements
- Inspection checklists
- Work progress reports
- Delivery schedules
- Ensure proper filing and document control for contracts, technical submissions, correspondence, and site instructions.
- Compile and submit RFI, Site Memo, inspection forms, progress reports, and material delivery records to consultants or clients as required.

**4. Procurement & Material Tracking**
- Maintain records of approved materials and track them against the project’s Bill of Quantities (BOQ) and procurement plan.
- Follow up on delivery schedules and coordinate with suppliers to ensure timely availability of materials.

**5. Contract Administration & Reporting**
- Support the administration of variation orders, progress claims, invoices, and related documentation.
- Draft and manage formal correspondences including letters, submittal cover sheets, site instruction responses, and minutes of meetings.
- Track submission logs and approval status to support timely claims and handovers.

**6. Coordination & Internal Communication**
- Coordinate internally between design, procurement, and site teams to ensure all documentation reflects current site conditions and client requirements.
- Act as a central point of reference for drawing versions, material status, and project documentation across departments.

**7. Tender & Post-Award Documentation**
- Assist in compilingtender submissions, **i**ncluding method statements, preliminary schedules, drawing indexes, and relevant technical documents.
- Upon project award, ensure smooth transition and handover of documentation to the execution team for mobilization and implementation.
- Additional responsibilities may be assigned as needed.

**Qualifications**:

- Diploma or Degree in Electrical Engineering, Building Services, Construction Management, Architecture, or a related field.
- Proficiency in AutoCAD or equivalent CAD software is essential.
- Knowledge of project scheduling tools such as Microsoft Project is an advantage.
- Familiarity with lighting systems, electrical layouts, and construction drawings is preferred.
- Basic understanding of contract administration, BOQ, and technical documentation.

**Skills**:

- Detail-oriented and organized, with strong document control and file management abilities.
- Capable of producing technical drawings, schedules, reports, and submission documents independently.
- Excellent coordination and communication skills to liaise with consultants, suppliers, and internal departments.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) for reporting and correspondence.
- Ability to work under pressure and meet deadlines in a fast-paced project environment.
- Strong problem-solving mindset with initiative and accountability in managing documentation flow.

Pay: RM2,800.00 - RM4,500.00 per month
