Qualifications:

- Bachelor’s degree in business administration, hospitality management, or related field preferred
- Minimum of 2- 3 yrs years proven experience in travel coordination, preferably in a corporate setting, visa processing (for foreign employees coming in to Malaysia), processing of work pass/permit.
- Can speak Mandarin
- Strong knowledge of travel booking platforms and reservation systems.
- Excellent communication and interpersonal skills.
- Exceptional organizational abilities and attention to detail.
- Proficiency in Microsoft Office Suite and travel management software.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Familiarity with travel regulations, visa requirements, and international travel logistics.

**Key Responsibilities**:

- Plan and coordinate travel arrangements for employees, including flights, accommodations, and ground transportation.
- Ensure all travel arrangements align with company policies and budgetary guidelines.
- Communicate travel itineraries and updates to employees in a timely manner.
- Briefing to employees for the do’s & don’ts for first time travelers.
- Research and book flights, hotels, rental cars, and other travel services.
- Negotiate rates and discounts with travel vendors to secure cost-effective options.
- Confirm reservations and manage any changes or cancellations as needed.
- Process travel expenses and reimbursements in accordance with company policies.
- Maintain accurate records of travel expenses and reconcile them with financial reports.
- Monitor travel budgets and identify opportunities for cost savings.
- Recommends the most cost-efficient bookings by providing pros & cons.
- Ensure all travel documentation, including visas, passports, and travel insurance, is complete and up-to-date.
- Stay informed about travel regulations and advisories, and communicate relevant information to travelers.
- Enforce company travel policies and procedures to ensure compliance and consistency.
- Educate employees on travel policies and guidelines, including expense reporting and reimbursement procedures.
- Address any issues or discrepancies related to travel policy compliance.
- Serve as the primary point of contact for travel-related inquiries and assistance.
- Provide support and assistance to travelers before, during, and after their trips.
- Collaborate with other teams in HRPAF and finance, to facilitate travel-related processes and approvals.
- Aware and knowledgeable with types of visas for APAC & EU regions.
- Collect & verify required documents such as passports, photographs & letters.
- Attention to detail, and knowledge of immigration law to guide client efficiently.

Pay: RM4,000.00 - RM7,500.00 per month
