Assistant Human Resource Administration

**Main Responsibilities**
- To assist in implementing policies and procedures and to provide full support in human resource & administration function.
- **Operational**_
1. Clerical Support
- Provide clerical support for the department
- Ensure that correspondence to/from HOD are handled in an efficient and timely manner to ensure timely action, proper control of document and filing in of document in a systematic and organized manner
- Monitor utilization of stationeries, supplies and other office consumable and ensures timely replenishment of items
- Provide general administrative support for the department
2. Filing and Record Keeping
- Keep and maintain proper filing of all documents
- Establish and maintain complete and up-to-date records and prepare relevant report and analysis for management and Group Human Resource and Administration Division
3. License & work permit
- Assist in renewal of the licenses before the date of expiry
4. Payroll Processing
- Assist in monthly payroll processing, payment and distribution of pay slips.
5. Maintenance of Leave & Attendance Records
- Enter data and maintain a complete and up-to-date annual leave and attendance records in the system.
6. Administration
- Assist on the administration functions.
- Assist in managing the Company’s assets/property including office equipments, various products etc., ensuring that these are stored, issued and protected.
- assist in controlling on administration cost on printing, postal, telephone, maintenance and etc.
- Manage the Company’s vehicles and ensure that vehicles are insured and all necessary tax and licensing are carried out on time.
- Control and implement Company policies and procedures with regards to administration matters.
- Assist in implementing all necessary policies and procedures to ensure a healthy and save working environment.
- Recommend appropriate administrative procedures for the following areas, mailing, purchasing, goods in out etc.
- Ensure the safe custody and effective retrieval of all administration related document, records and files retained within Human Resource and Administration Department.
- Ensure that all administration records are continually updated through the incorporation of amendments and regular filing.
- **Employees**_
1. Report for duty punctually, be well groomed, wearing the correct uniform and name badge at all times in order to set a good role model for all employees.
2. Consult on a daily basis the Employee Notice Board for information.
3. Implement all Operating Standard in compliance with directions given and to strive for the quality objectives.
4. Maintain good working relationships with colleagues / employees and with that of other departments so as to maintain a good productive working environment.
5. Ensure that good communication line is maintained with colleagues and/or subordinates.
6. Maintain a high standard of personal appearance and hygiene at all times.
7. To have a thorough and complete understanding of the Company’s **Employee Handbook** and adhere to the regulations stipulated at all times as well as to the SOPP.
- **General**_
1. Carry out any other reasonable duties and responsibilities as assigned from time to time.
Maintain confidentiality when dealing with clients and other company employees.
**Education & Training**
- Diploma or Certificate in Business Administration / Management or any related disciplines.
**Experience**
- Minimum of 2 years experience in Administration.
**Skill / Attributes**
- Good in English and Bahasa Malaysia, with good oral and written communication skills
- Good interpersonal skills
- Organized and systematic in handling and managing documents
- Self-starter, with strong initiative and the capacity to work independently
Pay: RM1,500.00 - RM2,100.00 per month
