**Job Summary**:
The Admin Executive will play a vital role in providing administrative support to ensure the efficient operation of the law firm/corporate office. This individual will assist in various tasks related to office management, Front Desk management, client interactions, and administrative duties, contributing to the overall success organization.
**Responsibilities**:
**1.** **Front Desk Management**:
- Greet clients and visitors in a professional and courteous manner.
- Maintain a clean and organized reception area.
**2.** **Office Administration**:
- Manage and maintain office supplies, equipment, and inventory.
- Schedule and coordinate meetings, appointments, and conference room bookings.
- Handle travel arrangements and accommodations for staff, as needed.
**3.** **Client Interaction**:
- Assist in client intake processes, ensuring all necessary documentation is complete.
- Provide exceptional customer service by addressing client inquiries and requests promptly and professionally.
- Coordinate client meetings and assist with preparing meeting materials.
**4.** **Document Management**:
- Assist with document preparation, formatting, and proofreading.
- Maintain organized filing systems for legal and corporate documents.
- Handle confidential and sensitive information with discretion.
**5.** **Billing and Expense Reporting**:
- Assist in generating invoices and tracking billable hours.
- Manage expense reports and reimbursement requests.
**6.** **Support for Legal and Corporate Teams**:
- Assist lawyers or corporate professionals with administrative tasks, including research and document retrieval.
- Collaborate with team members to ensure projects are completed on time.
**7.** **General Administrative Tasks**:
- Handle incoming and outgoing mail and courier services.
- Assist with data entry, record-keeping, and database management.
- Perform other administrative duties as required.
**Requirements**:
- High school diploma or equivalent; Bachelor’s degree preferred.
- Proven experience in administrative roles, preferably in a law firm or corporate setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Attention to detail and a high level of accuracy.
- Ability to handle confidential information with integrity.
- Knowledge of legal terminology (for law firm positions) is a plus.
**Job Types**: Full-time, Permanent
**Salary**: RM2,200.00 - RM2,700.00 per month
