Production Assistant

**Title**: Production / Planning Assistant

**Job Purpose**:
To assist the Planning and Production teams in preparing, coordinating, and monitoring production schedules, materials, and documentation to ensure efficient operations, on-time delivery, and compliance with company quality and food safety standards.

**Work Condition**:
Plant environment; may be required to work overtime and follow shift duty roster based on production needs and superior’s request.

**Job Requirements**:
**Education, Qualifications & Training**
- Minimum Diploma in Business Administration, Production Management, or related field

**Experience, Skills or Specialized Knowledge / Language / Ability to Travel**
- Minimum one (1) year experience in a manufacturing environment (preferably F&B industry)
- Basic understanding of production planning, scheduling, and inventory control
- Proficient in Microsoft Office (Excel, Word, PowerPoint)
- Able to understand and communicate in English and Malay
- Willing to work overtime and follow shift duty roster

**Job Descriptions: Key Accountabilities / Responsibilities / Activities**

**Production & Planning Coordination**
- To keep track of Sales Orders and ensure each order line is properly scheduled in the production plan.
- To assist in checking production capacity and material availability before confirming production schedules.
- To assist in preparing production plans and Work Orders according to agreed timelines and customer requirements.
- To assist in adjusting and updating schedules whenever there are order changes or output variations.
- To assist in responding to urgent or ad-hoc orders promptly and anticipate potential shortages.
- To liaise with Production, Quality, and Warehouse departments for coordination of materials, schedules, and shipments.
- To assist in generating daily and weekly production reports and preparing Daily Output vs Plan summaries.
- To assist in monitoring work-in-progress and ensure materials are used according to FIFO principle.
- To assist in preparing Purchase Requisition Forms for materials as needed.
- To coordinate with Production and Maintenance teams for any production shutdown or maintenance planning.

**Production Administrative Support**
- To assist the Production Department with administrative duties including document distribution, collection, and filing.
- To prepare production-related memos, letters, and labels (e.g., premix/mixing label, forming label, baking label, etc.) as instructed by the superior.
- To prepare minutes of production meetings and follow up on assigned actions.
- To update and maintain all production records, logbooks, and checklists accurately.
- To assist in compiling daily production data (output, downtime, wastage) for analysis and reporting.
- To assist in production data analysis related to quality and productivity performance.
- To assist in maintaining document control for audit and traceability purposes.

**Material & Inventory Monitoring**
- To monitor and manage the stock levels of raw materials, packaging materials, and work-in-progress items.
- To assist in updating stock records in compliance with SST (Sales and Service Tax).
- To prepare and verify material issue forms and ensure accurate record of stock movement.
- To assist in preparing monthly material usage and inventory reports for audit purposes.

**General Responsibilities**
- To ensure compliance with GMP, HACCP, HALAL, and ISO 9001:2015 standards.
- To maintain good housekeeping, safety, and 5S practices in all work areas.
- To assume corporate social responsibility (CSR).
- To perform other duties as assigned from time to time.

Pay: RM1,700.00 - RM2,300.00 per month
