Executive, Document Controller

**Key Responsibilities**:
- **Document Management**:
- Organize and maintain a systematic filing system for hardcopy documents related to property reports, letters, and other relevant materials.
- Classify, categorize, and label documents appropriately for easy identification and retrieval.
- **System Implementation**:
- Collaborate with relevant stakeholders to implement and maintain an effective electronic system for document access, ensuring the seamless transition from hardcopy to digital records.
- Oversee the integration of hardcopy documents into the designated system while maintaining data integrity.
- **Access Control**:
- Develop and enforce access controls for the document management system to ensure that only authorized personnel can retrieve or modify specific documents.
- Provide training and support to employees on the proper use of the document management system.
- **Quality Assurance**:
- Conduct regular audits to ensure the accuracy, completeness, and compliance of documents in both hardcopy and digital formats.
- Implement corrective actions as necessary to address any discrepancies or non-compliance issues.
- **Collaboration**:
- Work closely with departments, project teams, and external partners to gather, organize, and distribute documents efficiently.
- Liaise with the IT department to address any technical issues related to document management systems.
- **Reporting**:
- Generate regular reports on document management metrics, highlighting key performance indicators and areas for improvement.
- Provide insights to management for strategic decision-making related to document control processes.
**Qualifications and Skills**:
- Bachelor's degree in Business Administration, Office System Management, or a related field.
- Proven experience in document control, preferably in the property industry.
- Strong knowledge of document management systems and technology.
- Excellent organizational and multitasking skills.
- Attention to detail and commitment to maintaining data accuracy.
- Strong communication and interpersonal skills.
**Salary**: RM3,100.00 - RM4,500.00 per month
