**Job Overview**:
We are a support office located in Bangsar South, Kuala Lumpur, serving the HQ tyre wholesale business in Australia, which has four branches. We are seeking a detail-oriented and proactive Administrative Executive to provide administrative support and ensure smooth operations throughout the organization. In this role, you will manage day-to-day office functions, assist leadership, and coordinate key projects while fostering a positive and organized work environment.

**Roles and Responsibilities**:

- Perform general clerical duties, including filing and data entry, and provide comprehensive administrative support to management.
- Record purchase orders in the system, ensuring that the data is accurate and complete in a timely manner.
- Keep track of sea shipments, update the arrival schedule and shipping costs, and prepare general internal documents for the Branch Manager regarding container arrivals.
- Coordinate with freight forwarders and fleets to ensure timely container delivery and pull-out arrangements.
- Generate reports and analyze data to monitor sales and stock levels.
- Receive and update daily deliveries to ensure that the correct amount and type of stock is delivered.
- Cross-check credit notes with goods returned by customers and reconciling with stock system.
- Compile data and evidence to process monthly damaged goods claims. Follow up on the results and the amount claimable.
- Review incident and crisis management plans to identify and mitigate gaps.
- To conduct market research in industries and sectors within and outside the existing business portfolio to support continued business growth.
- Any other duties and relevant task will be assigned from time to time by the supervisor and management.
- Minimum Diploma, Advanced/Higher/Graduate Diploma in Logistics or a related field.
- At least 1 year of working experience in logistics, supply chain or administrative roles.
- A responsible individual capable of following instructions and completing tasks independently.
- **Able to communicate in Chinese**, as the role requires interaction with Mandarin-speaking clients.
- Available to work on public holidays on a rotational basis.
- Detail-oriented, well-organized and proactive.
- Builds quick rapport with colleagues and customers, establishing credibility and trust through attentive, empathetic, and honest communication.
- Position opens for Malaysians only, on-job-training will be provided.

**Working Hours**:

- 5 days work, Monday to Friday
- 6am to 3pm (with a 1-hour break) - Supporting the Australia region
