Ensure a “3-way match” - a properly approved (and issued) purchase document and a properly signed receiving document, both of which match the invoice submitted by the supplier.

Ensure all credit notes are posted correctly to reconcile against suppliers statements and printed on the remittance advice.

Prepare payment on fortnightly basis except for urgent payments which should be prepared immediately.

Maintain payment log.

Cancellation of Invoices after payment.

Reconcile supplier statements monthly with hotel records and follow up on any discrepancies.

Maintain creditors’ ledger and balance monthly to General Ledger.

Ensure all invoices have the appropriate documentation attached and approvals prior to processing.

Maintain a filing system for accounts payable records.

Maintain an effective filing system. For unpaid supplier invoices the filing is by supplier code and for paid invoices by month which the invoices were paid. Records must be retained for auditing and tax purposes for up to six years.

Answer all reasonable supplier requests in a professional and courteous manner.

Assist in preparing the accruals journal at month end for regular suppliers and delivery dockets not paid.

Use finance computer programs.

Check arithmetic accuracy and invoices and assign general ledger codes as per chart of accounts.

provide a summary of the aging report required by the Finance and Accounting Division so as to ensure

all vendors are paid on schedule, enhancing the loyalty of key suppliers of the Hotel, resulting in lower cost per unit.

**Job Requirements**:
EDUCATION AND TRAINING:

Bachelor’s degree or Diploma in Accounting, Finance, Business Administration or related field.

LANGUAGES:

English - Good level, written & spoken

Malay - Good level, written & spoken

SPECIFIC KNOWLEDGE:
Computer Skills

Letter Writing Skills

WORK EXPERIENCE IN OTHER COMPANIES (IN CASE OF EXTERNAL SELECTION):
2 years accounting experience which included reconciliation, cash management, payables, and/or receivables or an equivalent combination of education and work-related experience. position or similar; or an equivalent combination of education and work experience
