Inventory & Store Management Assistant

In this role, you will be responsible for managing inventory and store operations, including stock control, goods receiving, material equipment preparation, and record-keeping. You are required to ensure accurate inventory levels, proper storage, and timely coordination with project and procurement teams to support smooth project execution.
**KEY RESPONSIBILITIES**
**1. Inventory Control & Stock Management**
- Monitor and maintain stock levels of solar panels, inverters, cables, mounting structures, and related components.
- Perform regular stock checks, cycle counts, and reconciliation between physical stock and system records.
- Update inventory records accurately in the inventory management system (ERP or Excel-based).
- Ensure proper stock labeling, segregation, and storage according to product type, size, and project allocation.
**2. Goods Receiving & Inspection**
- Receive incoming materials, verify quantity and quality against purchase orders and delivery notes.
- Inspect and report any damage, discrepancies, or defective items to procurement and project teams.
- Coordinate with suppliers for returns or replacements of faulty goods.
**3. Store Organization & Housekeeping**
- Ensure the store area is well-organized, clean, and safe.
- Implement FIFO (First In, First Out) practices where applicable.
- Properly label storage locations for easy identification and retrieval.
**4. Material Issuance & Documentation**
- Prepare materials for project delivery based on Material Request Forms.
- Issue stock to site teams or contractors with proper documentation (DO, MRN).
- Maintain accurate records of incoming and outgoing goods.
**5. Coordination with Internal Teams**
- Work closely with procurement, project, and site teams to ensure timely availability of materials.
- Assist in planning material requirements for upcoming solar projects to prevent delays.
- Support logistics and delivery arrangements when required.
**6. Reporting & Monitoring**
- Prepare stock level reports, inventory aging reports, and stock movement summaries.
- Highlight slow-moving or obsolete stock for management review.
- Support periodic stock audits and provide necessary documentation.
**7. Compliance & Safety**
- Ensure compliance with company SOPs, ISO standards (if applicable), and safety regulations in storage and handling.
- Participate in safety briefings and comply with PPE requirements when handling solar components.
**8. Other**:
- Any other job as assigned by the Management from time to time.
**JOB COMPETENCIES REQUIREMENT**
- SPM / STPM / Certificate in Warehouse Management, Logistics, Supply Chain, or related field.
- Minimum 1-2 years of working experience in inventory control, storekeeping, warehouse operations, or related roles.
- Experience in goods receiving, inspection, stock issuance, and documentation processes.
- Familiarity with inventory systems (ERP, stock management software) and basic reporting using Excel.
- Good communication skills to liaise with procurement, project teams, suppliers, and site personnel.
- Familiarity with solar products (e.g., solar panels, inverters, cables) is an added advantage.
- Good understanding of goods receiving, inspection, and documentation processes.
- Positive, strong attention to detail and accuracy in stock recording and reporting with good organizational abilities.
- Good critical thinking and problem-solving skills to identify and resolve any challenges.
- Ability to work independently, thrive in a diversify & fast-paced work environment, managing multiple priorities & time-sensitive matters.
- Proficiency in MS Office (in particular Word, Excel and PowerPoint).
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work effectively in a cross-functional team environment
- Self-driven and proactive in finding solutions and meeting company objectives.
Pay: RM1,700.00 - RM3,000.00 per month
