Maintenance &engineering Coordinator

1. Provides Secretarial support to the Chief Engineer and performs administrative/clerical duties such as typing, filling, preparation of reports, drafting of simple memoranda. 2. Maintains the Department's filling system and to keep on file accurate records of the following:
- Purchase requests/order. Maintenance work order and special job order forms. 3. Assist in the operation of the Engineering store, update all store inventories and assist in obtaining quotations. ï‚- Preparation of purchase requisition for Engineering items and liases with Purchasing Department on specifications and deliveries. Follow up on all purchase orders particularly those outstanding. Submit to Chief Engineer an inventory of stock and consumption at the end of each month. 4. Processes claim and arrange for reimbursement of the Department's petty cash floats. 5. Record and draft minutes of Engineering Department Meeting. 6. Receive complaints and maintenance work orders through telephone from guests or other Departments and assigns the jobs to the Duty Engineers/Technicians. 7. Compiles Maintenance work orders, Departmental expenses ( from Purchase requisition ), contracted repair works and prepares the monthly Engineering reports for submission to Management. 8. Prepares and submits staff's overtime forms, part timers' claim payment forms and payroll change forms. 9. Check staff time cards for punctuality on a monthly basis. 10. Processes staff's annual leave, public holiday leave and medical leave including updating of Department's personal record files. 11. Photocopying of documents, prepares stencils for Engineering forms and sending correspondences through facsimile and telex. 12. Keeping track of various licences under Engineering Department and arranges for renewal. 13. Maintains the Department's first aid box and requisite items for replenishment whenever necessary. 14. Attends meeting and training programmes whenever required. 15. Performs any other duties as directed by the Chief Engineer/Management from time to time.
