Customer Service Operations Executive

The Customer Service Operations Executive will coordinate all activities in regards to sea export/import and/or air export /import and/or local delivery/cross border. This position will oversee the operations and handle customer inquiries related to logistics, shipments, forwarding and delivery issues. This role ensures timely and accurate responses to clients, resolves complaints, and ensures smooth communication between departments to deliver exceptional service.
**Key Responsibilities**:
**Operation Process**
- Open job file.
- Prepare shipping/delivery instruction based on customer’s instruction.
- Prepare shipment/delivery documentation by entering data into Sysfreight system.
- Prepare certificates as per customer request.
- Arrange for fumigation and certificate where applicable.
- Submit pre alert document to vendor/carrier/agent/transporter
- Monitor and follow up on documents based on INCOTERM/Customs Procedure.
- Prepare customs form (Aldec) & ZB declaration (PCOP/FZIPS)
- Close job file after vessel/truck/flight departs.
- Check the Ports' system to validate the Port opening and closing time.
- Arrange Payment Voucher to Carrier/Co-Loader/Supplier/Vendor.
- Update Events in system.
- Update customers' website/system where applicable.
- Update customer on shipment/delivery status/details.
- Follow up payment with customer.
**Communication with customers / vendors / agent**
- Place Booking & release booking confirmation/ROT to shipper/transporter/Customer.
- Follow up with customer to arrange for shipment collection, D/O released and delivery.
- Coordinate with vendor/agent for timely collect/delivery arrangement from/to customer.
- Follow up any COD payments from the shipper/consignee/customer.
- Follow up with Customer/Carrier/Co-loader/agent if Cargo damaged upon shipment/delivery.
**Specific Activities**
- Follow up with new/regular customer for shipment/delivery forecast, new order, enquiries, planning.
- Pickup cost from vendor and prepare documentation for Land/Sea/Air and any other service required by Customer
- Attend to customer inquiries.
- Prepare quotation to customers according to their service requests.
- Carrying out any other task assign by Superior.
**Qualifications**:
- Diploma in Logistics, Supply Chain, Business, or a related field.
- Minimum of 3 years' experience of customer service, documentations, operations in forwarding company, preferably in the sea freight.
- Has knowledge of the logistics industry and practices in Malaysia.
- Customer-oriented, proactive.
- Efficient and effective completion of orders within timelines promised to clients.
- Able to take pressure and work in a fast-paced environment.
- Maintenance of client satisfaction in Company’s logistics services.
- Willing to work at Taman Molek, Johor Bharu.
Pay: RM2,500.00 - RM3,500.00 per month
