We are looking for a proactive and detail-oriented Personal Assistant / Executive Assistant with exceptional communication skills and a strong problem-solving mindset. This individual will perform administrative duties and provide comprehensive support to the C-Suite in their daily activities, demonstrating flexibility and consistency while maintaining the confidentiality of sensitive operations. This role will primarily report to the COO.

**Responsibilities**:

- Maintain accurate calendars, prioritizing important deliverables effectively.
- Participate in highly confidential meetings and provide accurate records, transcribe and distribute minutes of meeting.
- Prepare presentation materials, communications, and documents using Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Collaborate with team members to organize various corporate events, managing and maintaining executives' schedules, appointments, and travel arrangements.
- Conduct research, collect, and analyze data to prepare reports and documents for COO
- Support C-Suite in various projects by conducting research, compiling data, and providing administrative assistance.
- Oversee the day-to-day office tasks for the COO and act as a liaison for internal and external inquiries.
- Manage schedule and organize meetings, appointments, and travel arrangements efficiently.
- Record meeting minutes, track action items, and follow up on deliverables as necessary.
- Coordinate and prioritize appointments and commitments to ensure timely attendance and preparedness.
- Organize all travel arrangements, including itinerary planning, visa processing, accommodations, transportation, and expense management for the C-Suite and associated personnel.
- Uphold strict confidentiality and discretion when handling sensitive information and discussions.

**Job Requirements**:

- A Bachelor’s Degree in Business Administration, Finance, Accounting, Human Resources Management, or a related field.
- A minimum of 3 years of proven experience as a personal assistant, executive assistant, or in a secretarial role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and social media platforms, with strong PowerPoint skills.
- Excellent organizational and time management abilities to coordinate multiple concurrent projects and prioritize effectively.
- Exceptional communication and interpersonal skills to engage professionally with individuals at all levels of the organization.
- An energetic personality with a positive, can-do attitude.
- Strong organizational skills, demonstrating the ability to manage and prioritize multiple tasks seamlessly with keen attention to detail.
- Ability to multitask, plan organizationally, and work independently with mínimal supervision.
- A self-initiated and adaptable personality is preferred.
- Highly accountable with strong professional ethics, integrity, and the ability to maintain confidentiality regarding company materials and information.
- Willing to travel as needed.
- A resourceful team player with a demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
- Strong interpersonal skills with the ability to build relationships with stakeholders, including colleagues, board members, external partners, and senior teams across diverse international environments and cultures.
- Proficiency in both English and Mandarin to effectively liaise with internal and external stakeholders.

Pay: RM3,500.00 - RM5,300.00 per month

- Diploma/Advanced Diploma (preferred)

**Experience**:

- Personal Assistant: 1 year (preferred)
