**Operation & Admin Executive (Sustainability)**

**Key Responsibilities**:
1. **Administrative Support**
- Manage the calendar and schedule of the Head of Department, coordinating meetings, travel arrangements and appointments.
- Ensure smooth communication between the Head of Department and internal / external stakeholders.
- Maintain office supplies and handle administrative tasks such as filing, correspondence and minute taking during meetings.

2. **Stakeholder Management**
- Act as the key contact person for internal and external stakeholders, including other department, vendors, clients and sustainability partners.
- coordinate with external stakeholders for meetings, events and sustainability related collaborations, ensuring smooth communication and logistics.
- Respond to inquiries from both internal and external parties, representing the department in a professional manner.

3. **Operations and Documentation**
- Serve as the custodian of all department SOPs, policies and documents ensuring they are updated, organized and accessible.
- Assist in the development, review and revision of SOPs as needed.
- Ensure compliance with internal governance standards, policies and guidelines, acting as the main point of contact for governance related inquiries.

4. **Finance and Budgeting**
- Provide support in tracking and managing the department's budget, expenses and procurement activities.
- Assist in preparing financial reports, liaising with the finance team to ensure timely processing of payments and budget reconciliation.
- Assist in drafting contracts, agreements and procurement documents.

5. **Governance**
- Be the primary liaison for governance related matters within the department, ensuring that processes are followed according to internal and external standards.
- Ensure proper filing and archiving of all governance documents, including audit trails for sustainability projects and initiatives.

6. **Other Responsibilities**
- Assist in coordinating sustainability related events, workshops and training sessions.
- Support the sustainability team with research, data entry and preparation of presentation materials.
- Work closely with other departments (e.g, finance, HR, compliance) to ensure smooth cross functional collaboration.

**Qualifications & Experience**
- **Qualification**: Diploma or Bachelor's degree in Business Administration, Operations Management or a related field. Familiarity with sustainability practices is an added advantage.
- **Experience**: 3 - 5 years of experience in an administrative or operations role, ideally supporting the Head of the Department or senior management.

**Knowledge & Skills**:

- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Experience with document management and SOP development.
- Attention to detail and ability to manage confidential information.

**Job Types**: Full-time, Contract
Contract length: 24 months
