Human Resource Cum Admin Assistant

Recruitment & Staffing
- Assist in sourcing, screening, and shortlisting candidates for cleaner, supervisor, and mobile team positions.
- Arrange interviews and coordinate onboarding schedules and help prepare relevant HR documents.
- Maintain staff placement records at various sites (banks, offices, commercial buildings, etc.).
2. Attendance & Payroll Support
- Collect, verify, and update daily/ monthly attendance from all sites.
- Check overtime claims, replacement duties, and ad-hoc job allowances.
- Assist the HR Executive in preparing payroll data.
- Track staff leave, medical certificates, and absenteeism.
3. Staff Management & Documentation
- Maintain and update employee records, personal files, and HR database.
- Prepare and update staff deployment lists for each site contract.
- Assist in issuing warning letters, memos, and disciplinary documentation.
- Monitor contract renewals, probation confirmations, and resignations.
4. Administrative Support
- Handle day-to-day administrative tasks such as filing, photocopying, scanning, data entry, and documentation.
- Answer phone calls, handle enquiries, and assist walk-in staff.
- Manage office supplies, stationery, and cleaning material request records.
6. Coordination with Operations Team
- Communicate with Supervisors and Site Leaders regarding manpower issues.
- Assist in arranging relief cleaners, replacement workers, and urgent manpower deployment.
- Update management on staff shortages or operational needs.
- Coordinate with the Mobile Team for monthly and ad-hoc cleaning schedules.
7. Other Duties
- Assist in audit preparation and company compliance documentation.
- Support HR & Admin projects and events (briefings, meetings, staff engagement activities).
- Perform any additional tasks assigned by the HR Executive or Management.
Job Requirements
- Minimum SPM/Diploma in Business, HR, Administration, or related field.
- Experience in HR or admin roles (experience in cleaning industry is an advantage).
- Good communication and coordination skills.
- Able to work in a fast-paced environment with multiple site operations.
- Proficient in Microsoft Office (Excel, Word).
- Responsible, organized, and able to maintain confidentiality.
- Fresh grade are welcome to apply.
Job Types: Contract, Fresh graduate
Contract length: 12 months
Pay: RM1, RM2,500.00 per month
